Shepherd Express is seeking to hire an experienced, take-charge professional with ability to manage our events department. The Event Coordinator should have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal staff and external customers. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.

Event Planning and Production:

  • Execute event planning and production for all Shepherd Express events 
  • Negotiate contracts and book venues, arrange food and beverage, order supplies and audiovisual equipment, order event signs, and ensure appropriate event décor 
  • Create agenda and attend weekly Marketing Meetings 
  • Attend weekly Sales Meetings 
  • Sell vendor booths for events along with sales staff 
  • Sell sponsorships for events along with sales staff
  • Coordinate marketing and promotional materials for events with creative staff including one-page sales sheets, vendor agreements, legal contracts and sponsorship opportunities 
  • Coordinate event landing pages, ticketing pages and social media pages with creative and digital staff 
  • Conduct basic research, make site visits, and find resources to help staff make decisions about event possibilities 
  • Create and revise room layouts for each event 
  • Propose new ideas to improve the event planning and implementation process 
  • Serve as liaison with vendors on event-related matters 
  • Manage event staffing for events 

Event Administration:

  • Prepare budgets and provide periodic progress reports to management staff for each event project 
  • Keep track of event finances and provide financial reports 
  • Coordinate scheduling of events on events calendar 
  • Prepare and modify event contracts as needed
  • Excellent communication skills, including writing, proof reading skills, and speaking. 
  • Ability to manage multiple projects and work assignments for a variety of staff and volunteers. 
  • Excellent interpersonal skills both in person and by phone 
  • Ability to accomplish projects with little supervision 
  • Fantastic customer service ethic and high expectations for quality 
  • Bachelor’s degree preferred; significant work experience in events can substitute for the degree 
  • Experience coordinating special events or related activities 
  • Proficient using Microsoft Office software including Word, Excel and PowerPoint
