We have a Marketing Coordinator position opening! The Marketing Coordinator plays a key role in enhancing brand visibility and achieving strategic business objectives by assisting in the development and implementation of marketing strategies across various channels. This position involves supporting written and visual marketing content creation, as well as collaborating with cross-functional teams to coordinate proposals and respond to requests for proposals (RFPs). The Marketing Coordinator contributes to marketing & sales initiatives aimed at elevating brand awareness and meeting organizational goals.

ESSENTIAL ACCOUNTABILITIES:

Collateral Production and Maintenance

  • Under the direction of the Marketing Manager, coordinate the production of electronic and print marketing materials, including but not limited to project profiles, company overviews, market brochures, advertising, signage, and others as required. 
  • Work with other departments to produce other materials as needed. 
  • Assist in the coordination of professional photography for projects, company events, headshots etc.

Proposal and RFP Coordination

  • In collaboration with the Marketing Manager, work on assigned proposals/RFPs, including but not limited to content management, production and editing of assets and collateral, printing/collating, internal meeting coordination, detailed follow-up, and other assistance as required.

Event Coordination

  • Work with internal teams such as BD, Operations, Marketing, HR, and company committee(s) to lead the coordination of internal and external events such as career fairs, industry events, educational (seminars, webinars), parties, golf outings, etc. 
  • Administer all associated registrations, set-up, take-down, promotional materials, catering, and third-party vendors. 
  • Attend selected industry events, monitor results, and provide insight.

Industry Awards, Sponsorships, and Memberships

  • Lead the coordination of RJM’s annual sponsorship and membership plans including renewals and payments for both employees and the company 
  • Work with the business development team and others to define our criteria and process for sponsorships and memberships 
  • Organize and prepare firm’s submissions for industry awards; follow-up with all stakeholders upon award announcements

Promotional Materials and Equipment

  • Coordinate orders, inventory, and budget of trinkets, giveaways, and event/trade show materials 
  • Provide assistance to HR regarding company store when needed 
  • Maintain clean and organized storage room 
  • Monitor usage of camera and other department equipment

Digital Content and Analytics

  • Manage social media content and postings including utilizing overall marketing plan; oversee regular activity with Hootsuite platform. 
  • Monitor and report both social media and website engagement utilizing Google Analytics 4 and other tools. 
  • Contribute to both internal and external website content including staff profiles, project news, and more. 
  • Develop SEO best practices aligned with marketing goals and conduct periodic audits for improvement.

Education and Work Experience:

  • Bachelor's degree in marketing, communications, business administration, or equivalent training and experience.
  • Three-plus years of industry experience and/or in similar marketing, communications, or business development support role. Candidates with A/E/C experience preferred.

Demonstrated Technical Competencies include:

  • MS Word, Excel, Power Point, Outlook (required). MS Teams (preferred).
  • Adobe Creative Suite: InDesign and Acrobat (required); Photoshop and Illustrator (preferred) 
  • Cosential or another CRM/relational database tool (preferred)
  • Knowledge of internal website management such as Sharepoint (preferred)

Demonstrated Professional Competencies include:

  • Ability to meet deadlines and manage resources accordingly
  • Strong writing, editing, and proofreading skills
  • Intermediate graphic design skills
  • Experience writing and designing business proposals and/or sales materials
  • Basic understanding of marketing concepts and/or knowledge of A/E/C industry
  • Time management and project coordination skills
  • Responsible, personable, organized, flexible, problem-solver
  • Willingness to learn new technology to streamline processes
