Accounting Manager is the sole finance/accounting position in our company. Candidates for Accounting Manager must have prior experience working in a similarly sized professional services firm (marketing, public relations, law firm, etc.)

The Accounting Manager, like all professional staff at Reputation Partners, is expected to:

  • Maintain a professional, positive and respectful attitude toward colleagues, vendors and clients 
  • Communicate clearly and professionally on behalf of the firm with partners and vendors 
  • Remain organized and efficient, even when numerous projects are underway at one time 
  • Consistently produce high quality work 
  • Appropriately manage time and schedule to ensure deadlines are met and projects are completed 
  • Proactively volunteer to help account teams, as appropriate 
  • Be available as needed to support the team in evening/weekend work when client deadlines require it 
  • Participate in team meetings by offering concise and relevant updates on administrative activities 
  • Respect confidential nature of certain administrative functions by maintaining appropriate discretion 

Specific Responsibilities:

General Accounting/Invoicing/Financial Reporting

  • Demonstrate high level of proficiency with Quickbooks 
  • Enter all payments received and make bank deposits as needed 
  • Maintain corporate credit card processes, including: 
  • Establishing accounts and securing cards for new staff 
  • Collect monthly staff expense reports and entering into Quickbooks to ensure expenses are posted to client accounts as appropriate 
  • Monthly accrual entries Reconcile all bank accounts 
  • Manage client billing/invoice processes, including: 
  • Secure needed client P.O. numbers for client billing 
  • Remind team members at the end of each month to verify that all billable time and expenses are entered appropriately and accurately in timesheets 
  • Produce first draft of monthly client invoices 
  • Email final client invoices to clients 
  • Track and notify President when invoices are past due 
  • Manage collection efforts on past due invoices 
  • Manage semi-monthly payroll, including payment of commissions/bonuses, employee expenses, etc. 
  • Work with Outside Accounting Firm to compile monthly financial reports and prepare related presentations/slides (as requested by the President) including: 
  • Monthly invoice/expense variation reports 
  • Monthly budget vs. actual reporting 
  • Monthly comparison reporting (this year vs. last year, this month vs. last month) 
  • Develop new reporting as requested by the President, including profitability by client/employee, etc.)
  • Develop and regularly track annual budget calculation, income and expense projections, year-end calculations, work with outside accountant as necessary 
  • Track and collect W9s from contractors for 1099s 
  • Track and report staff billability twice per month (mid-month and month-end) 

Client Work/Support

  • Manage process for letters of engagement and contracts 
  • Working with account leaders to draft these documents for new and renewing clients 
  • Open projects in Harvest (time tracking system) 
  • Tracking which contracts are nearing expiration 
  • Working with account leaders to facilitate the renewal process 

Administration/Operations

  • Supervise and manage PT Office Manager for Chicago office 
  • Collaborate with HR Consultant 
  • Serve as liaison and primary contact for outsourced IT firm 
  • Manage equipment purchasing and inventory 
  • Routinely update Operations Manual to reflect current information (vendor contacts, procedural steps, account information, etc.)
  • Bachelor's degree in accounting or business administration
  • A minimum of 7-10 years in finance 
  • Experience working in professional services (marketing services preferred) 
  • Experience managing invoicing, A/P, A/R, general ledger, forecasting, vendor management and related tasks 
  • Knowledge of Excel, QuickBooks and time keeping software (i.e. Harvest)
