Milwaukee School of Engineering (MSOE) invites applications for a full-time Alumni Relations and Annual Giving Program Coordinator to join the University Advancement team.

Under the direction of the Director of Alumni Relations and Annual Giving, the Assistant Director performs specific duties to include alumni-related and annual giving activities and programs, in accordance with MSOE’s established policies and procedures.

The Alumni Relations and Annual Giving Program Coordinator will assist the Director in planning and executing events related to alumni and development and department management.

Essential Job Functions

Event Management (60%)

  • Assist the Director in the planning, management and execution for large scale alumni events including Summer in the City reunion weekend, Homecoming, Golf Outings, and regional/national alumni receptions. 
  • Assist in management of alumni volunteer committees for specific events 
  • Develop metrics to measure ROI for specific events 
  • Work with the Director to plan, schedule and implement virtual opportunities for alumni, including but not limited to social receptions, continuing education, faculty presentations, etc. 
  • Work with the Director to plan, schedule and implement facility tours, campus alumni receptions, and assorted other alumni activities. 
  • Provide support for events related to development Alumni Relations and Annual Giving 

General Programming (35%)

  • Oversee program budget, including tracking billing, payments, and other financial transactions. 
  • Support the nomination and selection process for alumni awards. 
  • Schedule and organize program-related meetings including securing catering, location, technology, etc. 
  • Create and maintain program records, reports, presentations, and proposals. 
  • Assist the Director of Alumni Relations and Annual Giving when other projects arise as assigned. 

Participate as a Member of the Office of University Advancement (5%)

  • Attend all department meetings as required. 
  • Provide staff support for events and activities related to the Office of University Advancement and will perform other duties and responsibilities as assigned. 

Other Duties and Responsibilities

  • Participate as a member of the Alumni Relations team 
  • Assist with donor relations projects as needed 
  • Assist with annual giving projects as needed

Qualifications

  • Baccalaureate degree preferred.
  • At least 2 years of experience in administrative coordination and/or special event programming

  • Requires superior organization and planning skills. 
  • Must be able to work independently and demonstrate sound judgment in solving problems. 
  • Requires ability to manage multiple assignments with minimum supervision while meeting deadlines. 
  • Must be able to effectively communicate with a broad range of university constituents and outside vendors. 
  • Ability to establish cooperative and effective working relationships with alumni, friends, students, faculty and staff. 
  • Commitment to customer service for team members and external constituents. 
  • A demonstrated commitment to ethics and integrity. 

Work Environment

  • This job operates in a professional office environment. Some evenings and weekend hours are required as events dictate. This role uses standard office equipment such as computers, phones, photocopiers, filing systems and data software (Raiser’s Edge).

  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before others. Ability to effectively communicate in both written and oral form.

  • Ability to use numbers to solve problems involving concrete variables in standardized situations.

  • Ability to apply commonsense understanding to carry out written or oral instructions.

Physical Demands

  • While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to traverse within their work area as well as other areas on campus.
