MSOE invites applications for a full-time Associate Director of Donor Relations and Stewardship to join our University Advancement team. Under the direction of the Director of University Advancement Marketing and Donor Relations, the Associate Director will be responsible for providing critical support to the University Advancement team by stewarding and recognizing donors and their charitable contributions to MSOE through relationship-building, communications, events and marketing support.

Essential Job Functions
Stewardship Recognition and Event Coordination (35%)

  • Support the coordination of all stewardship efforts of the University.
  • Evaluate systems and processes to help implement regular stewardship and recognition activities on an annual basis.
  • Under the leadership of the Director of Advancement Marketing and Donor Relations, coordinates and supports all donor giving societies and memberships associated with giving levels recognizing annual gifts, planned giving, loyalty giving and cumulative lifetime philanthropy.
  • Support the coordination and execution of special events (donor recognition, dedications, grand openings, and anniversary ceremonies etc.) for the Office of University Advancement and serve as lead in the planning and execution of the MSOE annual scholarship appreciation dinner each spring.
  • Prepare stewardship communications to recognize donors and key staff members including President, VP’s and major donors, i.e., birthdays, anniversaries, special accomplishments, in connection with cultivations and solicitations.

Donor Recognition (20%)

  • Coordinate the placement of physical donor recognition signage on campus.  Work collaboratively with University Advancement leadership and donors to make sure signage and recognition is produced accurately and according to agreements made with donors.
  • Collaborate with University Advancement leadership and central Marketing team to develop specialized recognition signage for donors when appropriate.
  • Maintain catalogue and tracking for lifetime and annual giving recognition societies, displays, etc.

Scholarships and Endowment Reporting (40%)

  • Serve as liaison between Financial Aid and Office University Advancement in the administration of all donor-funded scholarships.
  • Provide detailed analyses of scholarship program, donors and recipients - Maintain contact with donors and family members who have established endowed and annual scholarships, including award amounts, names, and a brief bio of students selected as scholarship recipients.
  • Coordinate receipt of Scholarship thank-you student profiles and creation of ThankView donor videos.
  • Collaborate with MSOE’s Financial Aid Office to secure data needed to create annual donor reports for endowed funds, annual scholarships, student awards, chairs and professorships.
  • Serve as the liaison between scholarship donor and recipient(s) to assure that named scholarships are awarded accurately.
  • Gather information and identify unique stories, photos, etc. to use in stewardship reporting. Assist in creation of donor and stewardship marketing materials. (i.e. Thanksgiving and St. Patrick’s Day stewardship video, University Advancement holiday card etc.)

Participate as a Member of the Office of University Advancement (5%)

  • Attend University Advancement department and general campus meetings.
  • Works collaboratively with the members of the University Advancement staff to accomplish the strategic goals of the University.
  • Provide support at other University Advancement department events. (Summer in the City Alumni reunion, annual golf outing fundraisers etc.)

Other Duties and Responsibilities
Participate as a collaborative member of the Office of University Advancement

  • Bachelor’s Degree preferred
  • 2 years of related experience, including but not limited to event coordination, donor relations, data collection and reporting, fundraising, or communications
  • Experience working in higher education or non-profit is preferred
  • Previous experience with Microsoft Office Suite, specifically Excel
  • Interpersonal and communication skills necessary to represent MSOE in a positive manner to the public, current and potential donors, and internal staff and faculty

  • Attention to detail
  • Written communication and analytical skills necessary to create, research, and write materials to effectively educate, motivate, and acknowledge donors.
  • Moderate to advanced mathematical skills to prepare event budgets and project revenues.
  • Maintain strict confidentiality of all transactions, corporate records, and files.
  • Must have demonstrated sensitivity and professionalism when dealing with community organizations, non-profit agencies, governmental representatives, and stakeholders. 
  • Ability to use judgment, tact, and discretion when handling complex and confidential material. 

Physical Demands

  • While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to traverse within their work area as well as other areas on campus.
  • Ascending and descending stairs (building that does not contain an elevator).

Work Environment
This job operates in a professional office environment. This role uses standard office equipment, including but not limited to computers, phones, photocopiers, filing cabinets, and fax machines.
