Job Description:

  • Invoice clients timely, utilizing staff time reports, outside vendor invoices and employee expense re-imbursements. Manage and coordinate with job estimates and project budgets and timelines. Facilitate monitoring of actual time/expense incurred vs budgets. 
  • Follow up on past due Accounts Receivable highly preferred. 
  • Voucher approved vendor invoices and staff expense reports into QuickBooks. 
  • Record all approved credit card transactions into QuickBooks. 
  • Prepare monthly bank reconciliation of checking and credit card accounts. 
  • Manage cash flow and print disbursement checks as approved by CEO and distribute to Vendors and Staff. 
  • Manage insurance policies 
  • Works with partners and state agencies to keep state records and licenses up to date. 
  • Manages all company passwords and on-line accounts including shipping to ensure costs are properly accounted. 
  • Process payroll with outside PEO Empower HR and record semi-monthly payroll journal entries. Administer Employee benefits and 401(k) plan. 
  • Coordinate general ledger questions or accounting related issues with outside accounting firm, Locatelli and Company.  
  • Handles all other miscellaneous bookkeeping and accounting related tasks. 
  • Maintains clean files and record keeping of all accounting transactions. 
  • Handles office management duties and projects as assigned. 
  • Reports to CEO

Qualifications:

  • Preferred at least one year experience working with QuickBooks Online
  • Previous advertising agency bookkeeping/accounting work experience
  • Must enjoy working in a fast-paced environment and thrive on collaboration with team members
