Student fees also provide substantial support. The total annual organizational budget is approximately $45 million dollars.

The University of Wisconsin-Madison-Wisconsin Union is seeking a Campus Event Services Manager. 

The Campus Event Services Manager is responsible for managing the event scheduling and event planning process of events held at the Wisconsin Union, non-instructional general use space, and outdoor campus spaces. This position oversees 4 full-time event planners along with several students. They must have strong event planning skills and experience (to include: contract management, room reservations, set-up, audio visual, room diagrams, food and beverage needs, and etc). The manager should have proven experience in supervisory methods and practices including training, coaching, staff development, and motivation of fulltime and student staff. They must also have knowledge of and in depth experience with computers, data base information systems, event scheduling software, and diagram software.

The Wisconsin Union's Campus Event Services Department is responsible for planning of over 28,000 events held at Memorial Union and Union South. This department is a one-stop-shop planning department that assists events from start to finish. It is makes space reservations and assists customers in all aspects of event planning by coordinating customer needs with services provided through other Wisconsin Union and campus departments including room set ups, audio-visual equipment, food service and security.

Degree and area of specialization:

Bachelor's degree in Business Administration, Marketing, Communication Arts, Conference/Events Planning, or in a related field is required.

Minimum number of years and type of relevant work experience:

Minimum of four years professional experience involving the logistical planning and management of educational conferences, symposia or large-scale events for university departments and/or organizations.

Qualified applicants should process:

1. Proven track record of the successful management of large and complex academic conference programs.

2. Proven ability or skill in logistically planning of scientific and/or educational conferences (to include: contract management, lodging coordination, registration (on-line and on-site), registration materials, room layout, program guide creation, and financials).

3. Proven experience in supervisory methods and practices including training, coaching, staff development, and motivation of fulltime and student staff.

4. Knowledge of and in depth experience with computers, data base information systems, event scheduling software, diagram software, and registration software.

5. Ability to work effectively with all levels of campus faculty, staff, administrators and students as well as conference participants and representatives from external agencies in planning and developing educational support services for conferences.

6. Strong budget management experience.

7. Excellent communication, organizational, problem-solving and presentation skills.

8. The ability to represent The Wisconsin Union and the University of Wisconsin-Madison with sensitivity to academic customer concerns in the interpretation of complex state laws governing land and facility use.

9. Great customer service skills and a willingness to work toward exceeding the expectations of students, faculty, staff and campus guests.
