Position Summary:

The Communications and Event Coordinator will partner with the global communications team to provide support to members of the Executive Leadership Team and oversee special projects, corporate business planning and administration duties that bring the global ambition and strategy to life. The ideal candidate will be self-motivated, organized, and able to prepare, plan and execute large scale events. Must have the ability to work in a confidential manner as required, with persistence and a sense of urgency.

Position Responsibilities may include, but not limited to:

  • Construct and format executive level presentations in PowerPoint. 
  • Support the Executive Leadership Team by managing meetings and corporate event planning, including global meetings, leadership meetings, global town halls, etc. 
  • Research and select venues, negotiate prices, and align on budget. 
  • Prepare correspondence, memoranda, reports, etc. 
  • Work closely and effectively with executive level leadership to keep them well informed of upcoming commitments and responsibilities and following up appropriately. 
  • Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures. 
  • Manage global town halls and corporate meetings in our Rosemont office. 
  • Maintain corporate documents, including stat sheets, org charts, and business overviews. 
  • Support weekly/monthly business reporting, including the monthly board meeting deck and annual budget presentation. 
  • Manage global corporate meeting and event calendar. 
  • Support talent succession planning and presentation materials. 
  • Other projects or duties as assigned.

Required Skills and Experience:

  • Associates degree with 6+ years of related experience, or High School Diploma with 8+ years of related experience. 
  • Must demonstrate a high level of confidentiality; integrity is paramount. 
  • Ability to be self-directed and work independently, but also possess strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners. 
  • Must possess strong organizational and multi-tasking skills while supporting multiple individuals; must have ability to prioritize appropriately.
  • Excellent verbal and written communication skills. 
  • Advanced proficiency in Microsoft office, especially in PowerPoint, Word & Excel. 
  • Highly resourceful team-player with demonstrated proactive approaches to problem-solving and strong decision-making capability. 
  • Program coordination or event planning experience. 
  • This position must pass a post-offer background and drug test.

Preferred Skills and Experience:

  • Bachelor’s Degree
  • Business administration experience.
