ABOUT THE POSITION:

In concert with and under the supervision of the Marketing Director and in collaboration with MCT staff, the Communications and Patron Services Coordinator will execute various Marketing tasks and processes to create, implement, or enact various patron engagement pathways to MCT, including but not limited to:

MESSAGING

  • Support external communications through creation and dissemination of messaging materials and response compilation under guidance from Marketing Director, including but not limited to social media (Facebook, Instagram, TikTok, more TBD) and email marketing (Mailchimp)
  • Generate contact lists via Tessitura and ensure that patron data in Tessitura is accurate and up to date
  • Coordinate Launch Weekend VIP invitations and other special outreach messaging
  • Assemble playbill materials from artists and collaborators, assisting in preparation of show programs
  • Update Wix-based institutional website
  • Ensure Marketing materials are stocked in the lobby at all times
  • Assist in content capture, marketing documentation, and development of additional collateral as skills and schedules allow

PATRON AND COMMUNITY RELATIONS

  • Serve as first point of communication for MCT patrons and community members
  • Execute subscription campaign (seasonally) as coordinated by Marketing Director and trained by Artistic Producer, including coordination of patron data, development and distribution of subscription messaging, and subscription processing
  • Assist in group sales and educational outreach, collateral development, and facilitation, and process group bookings
  • Compile and submit comp requests to box office, and liaise with box office as needed on patron inquiries and exchanges and front of house communications
  • Fulfill and track MCT’s voucher program as needed per Marketing Director and Development Director
  • Monitor general email address and reply or direct responses as appropriate

MEDIA AND PR

  • Revise, maintain, and expand contact list for a broad network of media contacts across platforms including print, television, radio, and digital media, as well as new and nontraditional sources for advocacy
  • Participate with MCT staff in developing connections with special-interest groups and mission-aligned organizations and individuals for each production
  • Facilitate communication with partner groups, compiling and providing necessary promotional materials and information, and tracking partner engagement
  • Schedule and correspond with reviewers, influencers, and other messaging collaborators for productions
  • Develop and distribute press releases, press kits, and other partner collateral as supervised by Marketing Director
  • Coordinate artist and collaborator press availability as needed

COLLABORATIVE

  • Attend weekly MCT Staff, Impact, and Marketing meetings
  • Attend as available first rehearsals, Preview performances, and Opening Night performances
  • Represent MCT at events and performances as mutually scheduled

The accuracy of this job description to actual practice will be evaluated and any needed adjustments made as part of an annual performance review process.

The Communications and Patron Services Coordinator will be:

  • strongly motivated by MCT’s mission, vision, and values, and able to take ownership of task outcomes with the capacity to align process and outcome to mission, vision, and values;
  • highly organized and deadline-driven with excellent time management and written/verbal communication skills;
  • current on technological tools of the role with facility to deepen skills;
  • and excited by and skilled in building relationships with individuals from a wide variety of demographics, personalities, lived experiences, and worldviews throughout greater Milwaukee and Southeastern Wisconsin.

One year experience in a professional theater, patron services, or communications role or equivalent educational experience, with demonstrated success in interfacing with individuals representing different and often divergent constituencies.

Computer literacy and data management facility are essential, and programs utilized in the role include Microsoft Word and Excel, Canva (for design tasks), Wix (for basic website updates), Mailchimp (for email distribution), and Tessitura (for patron data management). While fluency in all is preferred, training can be provided; the capacity to quickly develop proficiency is essential.

Knowledge of southeastern Wisconsin’s non-profit arts community as well as fluency in professional theater practice are assets but not required.

Compensation: $17 per hour, 15-20 hours per week.
