Our Event Communications team is seeking a Communications Manager to join the team.

This is a hybrid creative role where no two days are alike; it fuses together the travel and creative industries. If you have a passion for design and possess equally strong writing abilities, know your way around digital and mobile app communications and are financially savvy, this role is for you. You are a project manager extraordinaire. You'll concept, develop and manage the customized high-end creative solutions for our events business, from start to finish. You'll keep an eye on profitability while blowing the client away with your buzz worthy on-site branding. Details matter. Organizational skills must be honed. Timelines are tight and customer service is our priority.

The Event Communications team ensures that every participant receives the critical program and travel information necessary for an incentive trip or a company meeting. Responsible for the conceptual development, project management, and implementation of engaging travel communication elements for our Group Incentive Travel business. Roles & Responsibilities:

  • Influences graphic design, writes content and project manages all participant travel communications including EngageNGo! (registration website), event apps and travel program collateral 
  • Partners with CD and ACD on creative development 
  • Ensures consistency of tone and voice throughout entire program 
  • Manages timelines, approvals and purchases. Coordinates production and procures vendors 
  • Proposes inclusions and estimates pricing for proposals. Monitors costs to maintain established budget and achieve desired gross margin goals. Responsible for reconciling financial recaps to Accounting for client billing 
  • Partners with Hotels and DMC contacts for imagery and information 
  • Partners with ESG team members to continue to grow the Event Communications business via the recommendation of creative enhancements (i.e. on-site branding, environmentals, destination reveal videos, etc) 
  • Creates Purchase Orders, ESS requests, Work Orders, expense reports and uses other corporate applications for financial reconciliation 
  • Coordinates/monitors event mailings to ensure proper and timely delivery, collaborating with our Assembly/Shipping partners 
  • Provide clear, concise Briefing Notes and templates for on-site operations and offer support for any EC on-site needs. Lead the Final Event Mailing sign-off process 
  • Responsible for customs paperwork for international shipping 
  • Promotes a collaborative creative team environment 
  • Contributes to client presentations

Skills & Abilities:

  • High level of Macintosh proficiency (Adobe Creative Cloud: InDesign; Illustrator; Photoshop, etc.) 
  • PC proficiency (Microsoft 365) 
  • Ability to manage complex & diverse programs, both for meetings and incentives 
  • Strong conceptual thinker who possesses a wide range of design & production capabilities along with financial savvy 
  • Ability to multi-task and quickly adapt to changing priorities in a fast-paced, deadline oriented environment 
  • Ability to make informed and timely decisions 
  • Strong communication (written & verbal), presentation, collaboration and research skills 
  • Ability to work independently and cross-functionally with internal BIW partners and external suppliers 
  • Ability to quote programs, manage expenses, drive profitability and submit financial recaps to Accounting. 
  • Strong time, project and financial management skills 
  • Extremely detail oriented and organized

Education/Experience Required:

  • BS/BFA in Communications, Design or related; preferred 
  • 3+ years industry experience required 
  • Strong creative portfolio demonstrating your creative skills and the ability to produce outstanding work 
  • Experience to include thorough knowledge of art direction & design (print & digital), copywriting, and estimating/costing 
  • Superior knowledge of print production, the digital landscape and proofing a must 
  • Plugged into current design trends and aware of emerging technologies 
  • Travel industry experience a plus
