Purpose and Scope:

This critical role in Marketing team is responsible for managing all aspects of sponsorships, conferences/exhibits, speaker programs and marketing collateral print & fulfillment management for on-market brands. This person will be supporting brand marketing teams, and will collaborate with various stakeholders including conference organizers, meeting vendors, field sales force, and Medical/Legal/Regulatory/Compliance teams. This person will lead congress/meeting planning and logistics, and other associated tactics and their respective budget, along with the responsibility for managing the process and budget for printing and distribution of marketing materials to sales force and other external customers.

Essential Duties & Responsibilities:

  • Manage the legal/compliance approval, planning, logistics, and management of all congresses and sponsorship exhibiting events as well as speaker programs. 
  • Drive and manage congress planning initiatives in coordination with cross-functional colleagues and congress planning committees 
  • Manage organization of collateral, booth development, shipping, field sales assignments, lodging and travel for all congress/sponsorship meeting attendees. 
  • Work within and manage approved budgets for all projects and vendors. 
  • Manage communications to field sales teams with regards to new sales materials for ordering and lead generation follow-up from exhibits. 
  • Manage inventory levels with print fulfillment to ensure proper management of field sales support materials. 
  • Work with brand leads and analytics to design and manage a Key Performance Indicator tracking (KPI) which will serve to inform decisions regarding the marketing tactical plan when it comes to Conferences/Sponsorships. 
  • Attend brand team and agency meetings, assist with brand planning and budgeting processes. 
  • Drive internal and external meeting planning, as needed. 
  • Manage business processes for vendor/agency selection, vendor management and onboarding. 
  • Assist with special projects, as needed. 
  • Perform other related duties as assigned.

Knowledge, Skills & Abilities:

  • Advanced knowledge of the Microsoft Office Suite, including Word, PowerPoint, Outlook and Excel. 
  • Strong organizational and management capabilities; demonstrated ability to manage vendor relations, budgets and large workstreams while maintaining focus on driving results 
  • Ability to manage shifting priorities to meet critical deadlines in a fast paced and dynamic environment 
  • Ability to work in and lead work processes in a cross-functional team environment 
  • Excellent communication skills; written and verbal 
  • Customer-service oriented to both internal and external entities 
  • Highly motivated team player with a positive attitude

Education & Experience:

  • Bachelor’s degree in marketing, business or related field experience 
  • 3+ years of related experience in pharma/biotech industry 
  • 3+ years of related experience in operations, project or program management, marketing, sales, and/or other related discipline that has allowed a working understanding of marketing and sales activities 
  • Start-up/small company experience is a plus
