As a member of the Marketing team the CRM Specialist is responsible for coordination, management and strategic planning related to the Marketing Department's CRM platforms and database (Legal360 and HubSpot). The CRM Specialist has oversight for practices, strategies and technologies that the firm uses to manage and analyze client interactions and data throughout the client lifecycle, with the goal of improving business relationships with clients, assisting in client retention and driving client engagement. This position oversees and implements marketing databases and coordinates the delivery of firm-generated content and marketing messages via electronic communication and other direct marketing mechanisms and develops strategy for targeted marketing deployments and campaigns and is responsible for subsequent data extraction/analysis, list or lead generation, and evaluating effectiveness of marketing campaigns. The CRM Specialist works in close coordination with other marketing team members, most notably those responsible for content generation, events and public relations/messaging, to develop and evolve overall marketing communications strategies and tactics. Ultimately this role relies on creative thinking, careful analysis and sound judgment to plan and accomplish goals.

Responsibilities vary but include:

  • Oversee, maintain and evolve the firm's database and CRM platforms to provide a robust mechanism for strategic marketing communications and business development with clients and potential clients. 
  • Develop and implement data maintenance plans to monitor integrity of data for targeted marketing and communications efforts. 
  • Manage and implement the delivery of external firm direct communications (primarily electronic) to targeted clients. 
  • Oversee list segmentation for all direct and interactive marketing campaigns and communicate requirements to the primary database vendor. 
  • Conduct data extraction, analysis and lead generation/ recommendations for further action.
  • Analyze campaign for key metrics and make recommendations for improvement/modifications as required to enhance effectiveness. 
  • Coordinate the development of invitations lists and assist with RSVP tracking and confirmations. 
  • Provide internal support to all database users, including training, troubleshooting, and coding. 
  • Ensure that the data, and the processes used to add and maintain data, are compliant with GDPR, CASL and the CCPA. 
  • Create custom reports as requested. 
  • Read technical journals and/or manuals, attends vendor seminars, and takes advantage of appropriate professional development opportunities to learn about new CRM and database marketing techniques.

Required qualifications include:

  • Bachelors Degree 
  • Three to five years of experience 
  • Minimum of three (3) years’ experience working with CRM systems and technology.
  • Advanced experience with CRM systems. Knowledge of Microsoft Dynamics365/Legal360 and HubSpot systems and platforms a plus. 
  • Demonstrated proficiency with MS Office Suite including Word, Excel, PowerPoint.
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements. 
  • Strong attention to detail and excellent proofreading skills. 
  • Ability to effectively develop and maintain effective business relationships with co-workers and outside parties. 
  • Ability to apply technical knowledge or guidance, analyze and interpret data from several sources, solve problems by applying precedent or extrapolating from previous experience.
  • Demonstrated proficiency in written and verbal communications. 
  • Self-motivated and autonomous. 
  • Legal industry experience and knowledge are desirable as is experience within a professional services firm.
