In the early 1980s, a small group of dedicated volunteers set out to build the first Ronald McDonald House® in Wisconsin because families had no place to stay while their seriously ill child was being treated at Children’s Wisconsin. The outpouring of support to build our House was remarkable. So much so that when we opened in 1984, we called it “The House that Love Built.®” Since then, our House has been keeping families together by providing more than 50,000 family stays. These families come from all 50 states and many countries around the world whose children are receiving medical care at Children’s Wisconsin or other area hospitals. We offer a place to call home at little or no cost, so families can stay together. Many families try to contribute what they can—even if it’s the suggested $20 a night donation. In reality, our cost is approximately $95 per night. The House is more than just a place to stay. We offer families therapeutic programming, a comprehensive meal program, comfortable community spaces and so much more. A team of over 500 volunteers and a dedicated staff are always ready to do whatever it takes to make a family’s stay a little easier. Living in a community, side by side, families form friendships and support one another through difficult times.

Ronald McDonald House Charities (RMHC) is a premiere Wisconsin nonprofit established to keep families together and promote the health and well-being of children. The Database & Gift Services Assistant will assist the Database & Gift Services Manager and Development Team in all aspects of data and information systems management and analysis in all RMHC databases.

Specific Duties and Responsibilities:

  • Accurate gift entry into Exceed Further database received through a variety of sources 
  • Confirm and make bank deposits 
  • Categorize, assign value, and enter in-kind donations into Exceed Further 
  • Provide donors with accurate and timely thank you and tax letters 
  • Fulfill database maintenance requests in Exceed Further 
  • Maintain database accuracy and integrity through careful entry and thoughtful cleanup projects 
  • Use online data mining for missing or incomplete information to maintain the integrity of the database 
  • Redirect and/or correct returned mail and change of address issues 
  • Manage NCOA updates 
  • Maintain data, donor, guest, and partner confidentially 
  • Prepare and maintain iPads for RMHC events 
  • Attend and support RMHC events as needed 
  • Cross-train and act as a backup for the Database & Gift Services Manager

General Duties and Responsibilities:

  • Field phone calls and problem-solve while providing excellent service to our stakeholders
  • Assist in the creation of mailing lists and reports
  • Assist in the maintenance of online payment and event tools – MobileCause, GiveSmart, PayPal, Double the Donation
  • Assist with monthly financial reconciliations, reporting, and other tasks as necessary
  • Collaborate on creation/maintenance of detailed
  • Standard Operating Procedures (SOP) and continuity plan for database department
  • Participate in special projects in support of RMHC
  • Assist in providing training and guidance to the Database & Gift Services Intern
  • Other duties as assigned

Qualifications:

  • Precise attention to detail, accuracy, and the ability to detect errors 
  • Knowledge and skills in Microsoft Office programs – especially Excel and Word 
  • Able to work independently, manage time, and multiple priorities effectively 
  • Previous work with a nonprofit donor database is a plus 
  • Excellent communication and interpersonal skills 
  • Able to work collaboratively with entire House staff

Compensations & Benefits:

$20-$22 per our based on experience
