Xivic is looking for a Digital Project Manager, who would be responsible for guiding projects through the development cycle from specification through go-live utilizing agile development strategies. You would work with clients to assess and meet diverse objectives including demanding timelines, platform requirements, Ux/Ui design, reporting needs, project testing and budget. You would also manage a global resource team to determine the correct tools to satisfy the client’s unique business requirements.

Collaboration is key for Xivic, so you’ll also be working closely with our User Experience, SEO, paid marketing, and Development teams to ensure that the scope and direction of each project is on schedule to make the digital magic happen. The role allows for hands-on experience with a variety of web platforms, mobile (iOS and Android), eCommerce platforms and social integration.

This is a remote role with team headquarters in Los Angeles, CA and Madison, WI. You will report to our Chief Strategist in Los Angeles in addition to our Associate Director of Production located in Downtown Madison, so you must be willing to travel to Madison within a day’s notice and have reliable transportation.

We are looking for applicants who are self-motivated and have excellent communication skills. You should have the ability to see the big picture and ask questions, as well as laser in on details.

What You’ll Be Doing:

  • Manage and lead multiple projects with shifting priorities through project development, execution, launch, and performance optimization through our project management tools (ActiveCollab and Jira) 
  • Accountable for day-to-day project support for multiple project plans and teams working on the various work areas identified 
  • Effectively communicate project status and manage expectations of team members and stakeholders in a timely and clear fashion 
  • Review project team deliverables to ensure quality and adherence to internal standards, as well as regulatory requirements 
  • Develop strong relationships with clients to understand their needs, to anticipate obstacles to success, and to advocate internally on their behalf 
  • Regularly track projects, manage project risks and impact of changes, provide mitigation plans and proactively manage escalation of issues to appropriate stakeholders 
  • Run ad hoc reports and develop standard reports in order to establish metrics for teams and to ensure performance against metrics is tracked, measured, and communicated on a regular basis 
  • Analyze trends and consolidate data/information for review with primary stakeholders to drive data-based decisions 
  • Work collaboratively with all teams to ensure workload is appropriately assigned and resource constraints are identified 
  • Utilize established processes and collaborate with other departments in order to maintain adherence across the team 
  • Adhere to workflow process for project execution including: User Experience Design, Interface Design, Development/Engineering, and Quality Assurance 
  • Excellence in managing deliverables once they are live, including activities to optimize performance increase usability, and adding new features (as required)

Basic Requirements:

  • Bachelor’s degree in computer science, marketing, communications, or general business or equivalent education 
  • 3+ years of client management including strategy development, execution & client relationship management in the digital industry 
  • 3+ years agency experience in the same or similar role 
  • Ability to multitask, prioritize and organize while meeting deadlines in a fast-paced environment - will always follow up and follow through 
  • Ability to balance administrative functions, including information collection, planning, organizing while efficiently utilizing resources 
  • Experience in project management tools like ActiveCollab, Jira, Confluence, BaseCamp, Monday, etc. and a demonstrated understanding of project management methodologies, including Waterfall, Agile, XP, Scrum
