Essential Duties & Responsibilities

This list is not all-inclusive and may be expanded to include other duties and responsibilities as deemed appropriate.

Manage Events

  • Serve as the operational lead for All-In Milwaukee events, professional development institutes, and community socials and gatherings including but not limited to bi-annual multi-day Institutes, annual career fair, campus-based socials in Milwaukee, Madison, and Whitewater, and annual celebrations.
  • Coordinate all scholar/external guest communication – track invitations, RSVPs, and on-going communication for upcoming events.
  • Manage procurement of space, food/beverage, collateral (branded swag, printed materials), A/V, etc. in line with budget.
  • Coordinate staff and volunteer responsibilities and lead the team to execute meaningful events for scholars and guests.

Support External Communication

  • Support the Development Director in developing and executing high-impact external communications through the organizational website, social media platforms, E-Newsletter communication, and printed materials. 
  • Generate, edit, and schedule social media content for mini-social campaigns throughout the year such as the All-In Milwaukee Grad Toasts, Grad Advice, and Intentional Career Experiences. 
  • Manage and maintain distribution lists for both the organization’s E-Newsletter in Salesforce and MailChimp. 
  • Support Career Director to develop the content and coordinate AIM Alumni newsletter 
  • Manage updating content for the organization’s collateral (website, brochure, etc.). 
  • Support the development and execution of sending annual outcomes reports and serve as the All-In Milwaukee brand support across the team ensuring AIM’s brand standards are implemented across all activities.

Support Donor Relations

  • Provide administrative support to Development Director and Executive Director in fundraising efforts including coordinating meetings, communications, and grant writing/reporting. 
  • Provide timeline and accurate receipts of acknowledgement letters. 
  • Lead ongoing maintenance of donor contacts and donation information in Salesforce. 
  • Conduct detailed research on top donor prospect research and prepare Development Director and Executive Director for donor meetings.

  • Strong people leadership and project management skills; able to function well as part of the organization’s operations team, communicating and interacting proactively and professionally to ensure the organization’s operational needs are being met. 
  • Ability to work a flexible work schedule, including occasional nights, and weekends as required. 
  • Ability to occasionally travel throughout and outside the Metro Milwaukee area for various meetings and to support on-campus events.

Education & Experience

  • Bachelor’s degree required. 
  • Three or more years of experience in event planning – including coordinating logistics for multiple events over a short period of time, managing budgets, coordinating with vendors, and ensuring events run smoothly from conception to execution. 
  • Experience with organizational communications, marketing and fundraising preferred. 
  • Familiarity with the local area, including venues, vendors, and community resources preferred.

Salary

The starting base salary for this role will be $50,000 but is negotiable based on experience and qualifications.
