The Event Services Department at Wisconsin State Fair Park (WSFP) is responsible for hosting approximately 350 events per year ranging from automobile races to livestock competitions and trade shows. Under the general direction of the Director of Event Services, the Event Manager is responsible for coordinating and communicating between event planners and various WSFP departments from inception to completion of events. The Event Manager is the on-site manager of the grounds and various building operations and the primary show management contact during events.

This position develops, prioritizes, and implements event operations plans through an event management database program, in addition to coordinating customer pre-convention meetings to determine staffing levels. The Event Manager is responsible for compiling estimates, creating floor plans and grounds layouts, submitting invoice information and preparing management reports. They manage on-site staffing to ensure outstanding customer, attendee and exhibitor experiences, while problem solving issues as they arise.

  • Responsible for coordinating and communicating between event planners and various park departments from inception to completion of the event
  • Acts as an on-site manager of grounds and various building operations and primary show management contact during the event(s)
  • Develops, prioritizes, and implements event operations plans through an event management database program, as well as coordinates customer pre-convention meetings and sales meetings to determine staffing levels
  • Compiles estimates, creates floor plans and grounds layouts, submits invoice information and prepares management reports
  • Manages on-site staffing to ensure outstanding event planner, attendee, and exhibitor experiences, while problem solving issues as they arise
  • Generate event related documents, including event sheets, schedules and letters including the contract requirements, setup and teardown dates, event dates, etc. and distribute to appropriate departments
  • Assign duties to subordinates to ensure successful outcome of event. Oversee coordination of contracted events to ensure high level of customer service, including contract negotiation & preparation
  • Manage and facilitate daily operations and functions of various events throughout the grounds
  • Obtain full knowledge of buildings physical workings and capabilities
  • Monitor needs and assign duties to meet requirements of tenants
  • Analyze current and past data to identify financial trends and opportunities to increase revenues for WSFP
  • Compile information, maintain records and distribute reports regarding customer status and venue usage for WSFP Executive Director/CEO and Board of Directors
  • Develop and implement cost-saving initiatives
  • Perform other assigned special projects and tasks as necessary to maintain high level of customer service to all WSFP customers
  • Other duties as assigned
  • +3 years of direct experience working with clients in a public assembly facility such as a convention center, fairgrounds, or arena, required
  • Four-year degree from an accredited college or university, preferred
  • Experience coordinating and communicating event needs and venue requirements
  • Knowledge of event database software packages
  • Ability to work long and irregular hours including nights, weekend and holidays as dictated by the venue schedule
  • Ability to plan, organize and supervise staff through demanding situations using either oral or written communication
  • Extensive knowledge of and skill in using computers and Microsoft software such as Word, Excel, Outlook, Power Point, Access and Internet Explorer and ability to learn new software
  • Exceptional customer service, communication, and organizational skills Experience with social media platforms would be considered a bonus

This unclassified position aligns with pay schedule-range (07-03). Starting salary will be based upon qualifications. Overtime compensation may be awarded during certain periods of the year.This position includes a comprehensive fringe benefits package, including pension, health insurance, and paid time off.
