Purpose of role:

This role is responsible for the seamless planning and execution of all aspects relating to events. This includes event coordination, vendor management, budget and expense management, and event marketing planning.

Main Tasks and Responsibities:

  • Schedule and coordinate all aspects of assigned specialty channels events, state and national conventions, in-house meetings. 
  • Coordinate arrangements for events including hotel, restaurant and transportation vendors. 
  • Coordinate exhibit preparation and set-up 
  • Responsible for ensuring that assigned events/meetings are executed flawlessly and within budget parameters 
  • Coordinate all aspects of assigned Commercial Sales and Training meetings 
  • Coordinate all aspects of internal company events for local teams and VIP customers 
  • Manage Cvent registration system and other related meeting platform systems (i.e. Zoom, WebEx) 
  • Assist with Product Launch activities including internal launch celebrations and all launch support 
  • Meet and greet customers and facilitate any last-minute requirements (room set-up, equipment needs, room assignments, food & beverage requirements, business services and shipping procedures with client and appropriate team members) 
  • Flexibility to work with cross-functional teams; including but not limited to Marketing, Training, and Sales and Operations 
  • Perform general administrative tasks 
  • Perform other duties as necessary or as requested by manager 
  • Travel could be up to 10%

Education and Skillset:

  • High School diploma or equivalent required 
  • Bachelor’s Degree or equivalent experience preferred 
  • 2+years’ experience in corporate event planning which includes budget management of multiple events 
  • Professional attitude and proficient interpersonal skills 
  • Excellent communication skills 
  • Able to multi-task and work in a team environment 
  • Strong attention to detail 
  • Exceptional organizational and time management skills 
  • Proficient in Microsoft office applications and Cvent SalesForce.com, Zoom, WebEx experience preferred
