You will independently with direction from, and support to, the Event Marketing & Experience Manager. This position is responsible for the strategic consultation, planning and execution of Medical College of Wisconsin (MCW) university, alumni, and fundraising events from inception to completion ensuring events align with MCW’s mission and values. This is a highly visible and fast-paced role within the institution where collaboration and concise communication is critical to success as part of the events team. The Events Consultant will have a unique ability to create, visualize and demonstrate their experience in leading engagement through multi-faceted events that bring together students, faculty, community members, employees and donors alike. From student events such as commencement, faculty events such as convocation and employee events such as picnics, to philanthropy events such as walk/runs or galas and community events such as press conferences and more, the Events Consultant will be an essential part of the events team. The events team plans over 40 events annually, with the Events Consultant leading up to 10 events.

Responsibilities:

  • Plan, execute and consult for university (internal and external), fundraising and alumni events.
  • Collaborate and integrate with executive leaders, faculty, major gift officers, communication consultants and creative services team to strategically align events to institutional initiatives, fundraising goals and MCW’s brand strategy.
  • Lead events as assigned. Develop strategic events with a focus on experience and operational planning that includes communications, marketing, and event promotions.
  • Develop budgets for review and approval for individual events.
  • Manage event to budget throughout planning process. Oversee development and production of event collateral such as promotional materials and video storytelling.
  • Responsible for event timelines, run-of shows and production schedules for in-person, virtual and hybrid events Identify appropriate resources for events team.
  • Direct and oversee onsite event set-up with attendees, staff, volunteers, and vendors.
  • Actively participate on committees, and project teams for institutional projects and initiatives, including preparing materials and agendas, facilitating meetings, following up on action items and completing and distributing minutes.
  • Implement administrative responsibilities as appropriate to maintain records, compile mailing list, track attendees, transport materials, manage promotional inventory, and facilitate reservations and management of facility engagements, etc.
  • Form and maintain partnerships with outside vendors, including negotiating contracts.
  • Effectively manage schedules and priorities.
  • Share new ideas, expectations, operational challenges, and information with senior and executive leaders.
  • Other work-related duties as assigned.

Minimum Qualifications:

  • Bachelor’s Degree
  • 5-7 years of event planning experience

Preferred Qualifications:

  • Bachelor's Degree in Communications, Hospitality, Marketing
  • Experience in event planning in academic environment
