Events Coordinator serves to lead the planning of key events for PrairieCare and partners. This role is to organize all internal and external events to meet the brand. These include signature fundraising events, community brand awareness and various marketing initiatives. This position provides industry-leading event support and works closely with clients, vendors, and internal team members to coordinate the event experience with an exceptional level of service.

Responsibilities:

  • Act as administrator for event calendar, as directed by the Marketing Director 
  • Determine event needs and arrange components necessary to succeed
  • Provide creative ideas to make events unique and attractive to draw attention 
  • Build and maintain relationships with the festival committee, community partners, non-profits, and other stakeholders 
  • Collaborate with volunteers on various events/responsibilities; train volunteers for events as needed 
  • Schedule all volunteers ensuring set up and take down are arranged 
  • Create systems and processes to ensure future successful events 
  • Ensure sponsor requirements fulfilled 
  • Analyze event performance, budget, and appropriate metrics 
  • Coordinate with all internal teams to identify and secure event participation including human resources, DEI, marketing, etc. 
  • Responsible for ordering and maintaining all event promotional inventory and give-a-ways appropriate to the event 
  • Support PAL and PrairieCare Child and Family Fund events as needed 
  • Act as a Community Relations Coordinator back-up, when needed

Requirements:

  • Bachelor's degree required 
  • At least 2 years of event planning experience 
  • At least 5 years in a customer service environment 
  • Event planning, graphic design, business applications and task management systems experience 
  • Proficiency in Microsoft 365 (Outlook, SharePoint, Teams, etc.) and ability to learn new software programs as needed, particularly CRM and website management software 
  • Excellent written and verbal communication and human relations skills 
  • Self-motivated, assertive and ability to lead others 
  • Ability to work with a diverse base of volunteers, sponsors, media, and key community leaders in a highly professional and even-handed manner 
  • Multi-tasking ability in a deadline-oriented environment 
  • Superior organizational skills 
  • Detail oriented and systems thinker 
  • Ability to stay calm under pressure and function in a fast-paced environment 
  • Ability to perform physical tasks such as pulling pallets, walking extensively, moving boxes, etc.
