Responsible for the successful planning and execution of UPAF’s two largest fundraising events: UPAF Ride for the Arts and “Dancing on the Green” Golf Outing. This highly visible position works closely with staff, existing donors, volunteers and business and community representatives to oversee all dimensions of both events.

The individual:

  • Develops plan of action – each year – to optimize outcomes and best practices with fundraising/pledgeraising and participant experience. Includes managing a comprehensive timeline to meet key deadlines. 
  • Manage marketing events budget – ensure expenses are within budget, process invoices on time and accrues, as necessary. 
  • Supports Development team with select events to bring consistency and best practices to the UPAF team. 
  • Obtains and coordinates the internal and external resources needed to execute both events that collectively raise more than $600,000; create touchpoints with current and prospective donors; and drive awareness through an array of marketing channels. 
  • Manages third-party vendors for the Ride for the Arts to negotiate contracts (e.g., Summerfest, insurance), determine routes, secure permits and ensures safety for staff, volunteers and participants. 
  • Secures in-kind items (e.g., food, beverage). 
  • Coordinates entertainment/activities for both events. 
  • Creates and delivers communications strategy to recruit and inform participants – riders/golfers, volunteers, pledgeraisers/donors/sponsors, etc. 
  • Recruits and leads a Ride for the Arts Steering Committee responsible for driving many aspects of the event. 
  • Recruits and trains volunteers; Ride for the Arts requires a minimum of 150 individuals on the day of the event. 
  • Stewards donors and participants through acknowledgements, personal touchpoints and recognition. 
  • Collaborates with Development on identifying sponsorship opportunities. 
  • Manages online Events Calendar that includes all UPAF-led events, including those that fall under Development and Community Partnerships.

Experience:

  • A minimum of five years of experience in event planning and project management.

  • Exceptional organizational and project management skills 
  • Excellent written and verbal communications 
  • Strong team building skills with an ability to lead individuals in achieving a common goal 
  • Ability to simultaneously manage multiple priorities 
  • Analytical skills to determine metrics/targets and best practices 
  • Volunteer management experience 
  • Nonprofit fundraising experience a plus 
  • Working knowledge of Office 365

Education:

  • Bachelor's degree in Communications, Marketing, Public Relations or equivalent.
