Among the finest orchestras in the country, the Milwaukee Symphony Orchestra is the largest cultural organization in Wisconsin. Since its inception in 1959, the orchestra has received critical acclaim for artistic excellence. Eighty-three full-time professional musicians perform more than 130 concerts each season. A cornerstone organization in Milwaukee's community, the MSO provides enrichment and education activities for audiences of every age, economic status, and background.
The MSO is recognized as a pioneer in the world of new music among American orchestras. For 41 years, the symphony's nationally syndicated radio broadcasts have ranked among the nation's largest collections, enjoyed on more than 240 stations throughout the United States. In 2005, the MSO became the first American orchestra to offer live recordings for download directly through online music stores including iTunes. The MSO is honored to participate in the second Spring for Music Festival at Carnegie Hall on May 11, 2012.
The MSO's standard of excellence extends beyond the concert hall and into the community, reaching more than 40,000 children and their families through its ACE (Arts in Community Education) program, Youth and Teen concerts, Kinderkonzerts, Music for Me concerts, and Behind the Notes pre-concert talks and Friday post-concert Talkbacks. This season, 7,200 students and 1,200 faculty and staff members in 21 Southeastern Wisconsin elementary and middle schools will participate in ACE.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Support all operations related to events scheduled through
the Facilities Department (including internal and external rental events).
Responsibilities include:
- Developing floorplans
- Overseeing set-up/tear-down of events
- Processing event requests
- Maintaining event equipment inventory
- On-site event management, including nights and weekends as
necessary
- Equipment and Furniture Rentals
- Assisting in the management of the event scheduling software
Provide excellent customer service and professionalism when
interacting with clients, vendors, and internal partners.
Work with the Event Services Manager to ensure the following
services are scheduled as needed:
- Front of House Staffing
- Parking Services
- Custodial
- Security and Police
Facilitate appropriate communication between clients and
other internal service providers including:
Orchestra Operations:
- Stage labor
- AV and tech support
Marketing:
- Ticketing
- Print and digital event collateral
- Database Management (including managing RSVPs)
Indulge Catering
- Menu development
- Bar services
Coordinate with outside vendors for:
- Load-in requirements
- Power requirements
- Load-out requirements
Other duties as assigned by the Director of Events
QUALIFICATION REQUIREMENTS:

CONTACTS WITH OTHERS:
This position is integral in execution of all Milwaukee
Symphony Orchestra events. This position includes communication and direct
contact with rental clients, patrons, donors, and outside vendors. The highest
level of service is expected.
EDUCATION AND/OR EXPERIENCE:
The position requires a High School Diploma and 2-4 years of
event coordination experience. Strong
interpersonal and communication skills. Extremely strong organizational skills
and ability to crisis manage.
2+ years of experience in event planning; event
set-up/tear-down experience is preferred; independently manage multiple tasks
and projects and meet deadlines; ability to communicate effectively with
colleagues, internally and externally.
