Reporting to the Associate Vice Chancellor and Chief Information Officer, this position provides support to the AVC/CIO and designees. This position performs paraprofessional work of considerable difficulty and independence. The Executive Administrative Assistant is responsible for managing all of the program support assistance needs of the AVC/CIO, including managing appointment calendars, which are complicated and change frequently. This position also provides assistance to the AVC/CIO including arranging for and setting up the details of division-wide meetings and special events, as well as performing other duties which support the mission of the Office of the Chief Information Officer. Work is performed in a busy office environment, where priorities quickly change and interruptions are common.

Minimum Qualifications:

  • Minimum 2 years of experience serving as first point of contact in a department or office
  • Experience using common business productivity software and applications (e.g., word processing, spreadsheets, databases, presentation software, electronic calendars, etc.)
  • Evidence of experience organizing the work of others (e.g., organizing and prioritizing multiple or complex projects, managing multiple schedules and deadlines, etc.)

Preferred Qualifications:

  • Evidence of experience working with customers to assess their needs in an effort to meet/exceed requirements and expectations and deliver high-quality products and services
  • Experience speaking on behalf of administrator(s) regarding a variety of administrative and programmatic matters
  • Evidence of experience gathering, organizing, maintaining and archiving data, information and/or records manually and/or through computer-based applications
  • Experience planning and organizing conferences, retreats, meetings, and/or annual events for administrator(s)
  • Experience researching, developing, and composing presentation materials (i.e., letters, memos, or reports) and speeches for administrator(s) in a variety of settings (i.e., publications, web site, etc.)
  • Evidence of experience developing networks and building alliances; collaborating across boundaries to build strategic relationships and achieve common goals
  • Experience using WordPress
