This position is responsible for providing a high level of confidential executive and administrative support to the President & CEO, boards and committees. Prepares and maintains accurate minutes, reports and membership lists. Manages phones, mail and accuracy in member database. Liaison to assigned committees and plans board and committee meetings. Assists and attends special events, programs and activities as requested.

Executive Support:

  • Prepares, proofs and submits assigned correspondence, reports and other documents ensuring a high level of communications and accuracy.
  • Receives, records and processes phone calls and emails on behalf of the President & CEO; schedules appointments for the President & CEO in response to and/or follow-ups on inquiries to and from the CEO as directed.
  • As assigned, conducts/processes special projects under the direction of the President & CEO and/or board of directors to include preparing for, organizing, establishing deadlines and submitting completed projects timely.
  • Provides a high level of communications and administrative support to boards and committees.
  • Oversees and supports boards and committees to include new members and updates and maintains in database.
  • Exhibits excellent written and verbal communication skills.
  • Prepares agendas and logistics for assigned board and committee meetings. Communicates dates, emails sends calendar invites, reminders, compiles information and documents to include in materials before each meeting; arranges for the electronic delivery of materials in advance.
  • Subsequently records, drafts and distributes meeting minutes. Ensures all governance documents and minutes are available in a central location for the CEO to access.
  • Plans, coordinates and attends annual events related to WICPA governance.
  • Schedule legislator visits in Washington DC and Madison.

Excellence Awards and Annual Member Banquet:

  • Collaborates with CEO, Marketing & Design, CPE Program & Event staff for Excellence Awards and Member Banquet.
  • Exhibits excellent written and verbal communication skills with attention to detail including proofing and editing copy for brochures, website, and marketing materials.
  • Schedules and manages logistics for Excellence Awards Selection Committee meeting.
  • Ensures Excellence Awards application and descriptions are updated and live on website and promotion information to marketing and communications for emails, social media, conference announcements, print ads, etc.
  • Collaborate details of coordinating excellence award recipient photos and videos with marketing (scheduled dates, details provided to recipients and information needed from recipients for marketing materials).
  • Manages purchase and coordination of longevity member awards and gifts before, during and after the event in accordance with budget timing.
  • Develop and coordinate scripts for speakers.

Administrative:

  • Responsible for answering the main telephone line, voicemail system and recorded greetings and staff tree line. Provides exceptional customer service to callers. Arranges backup for phone when out of the office or unavailable.
  • Exhibits excellent written and verbal communication skills with attention to detail.
  • Collects delivered mail, opens, sorts and disburses to appropriate staff. Separates cash receipts by department, disburses to appropriate staff and creates a master tape total for CEO.
  • Assists with address changes, dues collection calls, mailing projects and other projects as needed.
  • Responsible for scholarship selection process and awareness grant selection process including letters, forms, emails, updating website, compiling information in spreadsheet, scheduling meetings and logistics, and notification.
  • Provides support to staff with activities, events or projects regarding membership such as generating accurate lists, rosters, mailing lists, emails, etc. from the database system.
  • Oversees the Administrative Intern’s work schedule,
  • Provides backup and support to other departments as requested, including attending events.

Requirements:

  • Must possess a level of education obtained through successful completion of a four (4) year Business/Administration or Communication Degree and three (3) years previous experience as an Executive Assistant reporting directly to C-level executives.
  • Demonstrates exemplary business writing and verbal communication skills.
  • Advanced knowledge and experience in personal computer software to include Microsoft Word, Excel, Outlook, Data Entry, database and website maintenance.
  • Must possess strong organizational skills, project management and problem-solving skills, attention to detail and ability to multi-task.
  • Demonstrates good judgement and critical thinking in a high performance, fast-paced work environment.
  • Must be able to work independently and in a team-oriented environment with exceptional interpersonal skills.
  • Required to maintain confidentiality with information obtained in position.
  • Must possess a valid driver’s license, have a reliable source of transportation and must be able to travel as scheduled.
  • Must be able to work additional time as required.
