Bader Philanthropies, Inc. seeks a full time Grants Administrator who coordinates and implements grant processing activities of the Foundation, including the workflows of data and maintenance of the GMS 360 grants database system. This position coordinates due diligence in verifying all grants are legally compliant with Federal and State laws and regulations pertaining to Private Foundations.

Roles and Responsibilities:

  • Manages GMS 360, the grants and PRI tracking database, including maintenance of current workflows and development of new ones, development and preparation of grants and PRI management reports and list views for staff and board use;                                      
  • Ensures compliance with IRS regulations and foundation legal and financial requirements for grants; 
  • Participates in Program Committee meetings and Board meetings in order to manage initial electronic application intake, including processing of international organization registration, application and letters of inquiry processing as well as recommendation and ratification processing;
  • Responds to phone inquiries from applicants, prospective applicants and grantees about utilization of GMS 360;
  • In coordination with Program Coordinator and Operations Staff, troubleshoots GMS 360 applicant and grantee issues related to submission of applications and grant/PRI requirements;
  • In coordination with Communication Coordinator and operations staff, assists in preparation of Board review materials;
  • Works with Program Coordinator and Operations staff to maintain data so that contacts, organizations and other database elements are up to date;
  • Continually improves and updates grants management procedures;keeps procedures manual current;
  • Undertakes special projects as assigned.
  • Must have patient, meticulous and logical workstyle with proven abilities in analytical, database and reporting skills;
  • Advanced computer skills familiar with both Windows and MAC operating systems, particularly proficient in Microsoft Office Products and online database management systems; computer graphic and Adobe proficiency a plus;
  • Excellent time and project management skills with strong attention to detail, and demonstrated ability to prioritize among competing goals to execute on tight deadlines, working both independently as well as effectively in a highly collaborative, team environment.
  • Excellent interpersonal skills and ability to interact with a wide variety of people both internally and externally.
