Using multiple tourism industry and marketing-specific tools, this role will serve as primary assistant for marketing, communications, and partnership department projects and administrative tasks. The position will provide clerical assistance to the Vice President of Marketing, Communications & Partnership, the Vice President of Communications & Advocacy, and the overall Marketing/Communications/Partnership department. Assist with the day-to-day marketing department operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist VP of Marketing and Communications in day-to-day operation of the department to maintain a coordinated effort among the Marketing, Communications and Partnership teams. 
  • Coordinate schedule of department and Marketing Committee Meetings, including taking and organizing meeting minutes. 
  • Draft and edit correspondence for the department’s leadership team. 
  • Utilize the company CRM database for tracking correspondence and assist with keeping the database up to date and organized. 
  • Create and edit emails and e-newsletters as needed. 
  • Serve as primary compiler of monthly and quarterly reports for the department, including earned media reporting, email reporting, web performance analytics, and more.
  • Assist at department-related events and attend tourism industry-related events as needed. 
  • Assist with key department projects as requested, including proofing collateral, scheduling social media posts, updating calendar of events listings and basic content entry for the website. 
  • Serve on internal VISIT Milwaukee staff committees and external tourism partners committees as designated by department or company leadership. 
  • Book travel for department leadership as necessary. 
  • Provide support for monthly expense reports as necessary. 
  • Maintain VIP and media swag inventory in collaboration with communications department and department leadership. 
  • Provide relief for receptionist duty as needed. Other duties as assigned.

Required education and experience:

  • High school diploma or equivalent required. Associate degree from an accredited institution in business or related field, or 
  • An equivalent combination of education, experience, and training that would provide the knowledge, skills and abilities required for the successful performance of the essential job duties. 
  • Minimum of two years of related experience. 
  • Experience in the tourism, hospitality or association industry preferred. 

Required skills, knowledge and abilities:

  • Demonstrated understanding of marketing and branding concepts. Ability to identify and understand internal and external consumer/audience voice and business needs. 
  • Demonstrated ability to manage, organize, coordinate and prioritize assignments under tight deadlines. 
  • Possess a strong attention to detail, ability to foresee needs and resolve obstacles. 
  • Must demonstrate strategic thinking and creative skills, as well as a proven track record of innovation. 
  • Ability to exercise initiative, judgment, diplomacy and maintain confidentiality in a wide variety of internal and public situations. 
  • Strong commitment to diversity and inclusivity in the workplace. 
  • Ability to present to diverse audiences, specifically, racially, ethnically, and socioeconomically diverse communities. 
  • Must possess a team orientation and proven ability to work collaboratively. 
  • Must have a working knowledge of internet/intranet systems, web and social media practices. 
  • Advanced experience with MS Office applications required. Working knowledge of office databases (CRM). 
  • Excellent communication and organizational skills. 

Physical Requirements:

  • Ability to sit at desk, operate computer keyboard and view computer screen for six to eight hours per day. 
  • Must be able to hear and converse via telephone and in person. 
  • May be required to stoop, bend or reach above the shoulders. 
  • May be required to lift boxes and small equipment up to 50 pounds in weight. 
  • Travel in personal automobile may be required for business; occasional air travel may be required.
