Chicago Jazz Philharmonic seeks a Marketing and Development Associate to provide support and execution of the organization’s fundraising and communications goals. A successful candidate in this position will be adept at communicating CJP’s mission and vision to a wide variety of audiences and stakeholders. In addition, this position will be responsible for managing the organization’s patron databases, supporting marketing and fundraising campaigns, and supporting special events.

A successful candidate will be a focused and energetic professional who has experience in providing administrative and executive support, working independently, and being effective across multiple departments in an organization. Prior experience in marketing and/or fundraising a plus. The associate reports to the General Manager.

Marketing & Communications – 30% per month

  • Work with the General Manager to refine and articulate the CJP’s brand and initiatives efficiently and accurately through existing and new media channels (website, printed materials, social media, radio, etc.) 
  • Manage website content and make manual updates. 
  • Work with support from a third party vendor, as necessary 
  • Update and maintain a quarterly marketing calendar in collaboration with staff 
  • Design and publish basic marketing pieces and graphics (i.e., solicitations, quarterly e-newsletters, electronic invitations) 
  • Serve as liaison with graphic designers to develop more sophisticated communications pieces (i.e., gala invitations, education program collateral, program books, and electronic press kit packages) 
  • Refine and share consistent and effective communication and branding strategies with CJP staff, partners, and venues 
  • Update and manage patron database (Salesforce) and e-marketing databases (Mailchimp, Eventbrite, OneCause, etc.) 
  • Create drafts of marketing and public relations campaigns 
  • Write drafts of press releases, copy for marketing collateral, and public relations based on approved campaigns 
  • Submit campaign summaries for review that include website analytics, social media data, ROI, etc.; and provide suggestions for improvement for future marketing campaigns and strategy. 
  • Maintains physical and electronic marketing archives 
  • Participate in associations, cultural events, and networking opportunities that enhance CJP’s visibility (i.e., Magnificent Mile Association, DCASE, Arts & Business Council)

Development & Fundraising - 30% per month

  • Support the Executive Director to implement an annual development strategy that includes an annual gala, individual giving, corporate and foundation giving, and other patron cultivation events associated with CJPs artistic and educational programs. 
  • Continually update and manage patron database (Salesforce) and reporting 
  • Conduct prospect research for new grant funding opportunities 
  • Maintain organization grant calendar 
  • Compile supporting materials for grants and donor cultivation 
  • Prepare acknowledgement letters and other correspondence 
  • Revitalize and oversee ‘Jazzical Society’ monthly donor program 
  • Track fulfillment of donations, sponsorships, and contributions 

Record Keeping - 20% per month

  • Responsible for maintaining and updating patron database (Salesforce) to ensure accurate and current data 
  • Serve as lead on patron database for the organization, connecting staff to training resources and acting as liaison with third-party vendors and contractors 
  • Ensure third-party applications are integrated and working efficiently with patron database (i.e. Formstack, Stripe, OneCause) 

Special Events/Performances – 20% per month

  • In partnership with General Manager and a Board of Directors sub-committee (Gala Committee), organize and execute the organization’s annual gala 
  • Refine, update, or develop event planning, implementation and commutation procedures 
  • Coordinate solicitation and procurement of silent auction / raffle items, awards, etc. 
  • Assist the General Manager with day-of execution, including venue set-up and tear-down, deliveries, décor, volunteer management, etc. 
  • Serve as lead coordinator for additional, more intimate donor cultivation events throughout the year (i.e., Annual Impact Report Breakfast (December), Pre / Post-Concert Receptions). 

Job Requirements:

  • Bachelor’s degree required. 
  • 3-5 years of experience in nonprofit administration (experience in arts administration preferred), prior experience in marketing and/or fundraising a plus. 
  • Strong attention to detail and ability to work both collaboratively and with minimal supervision 
  • Proficiency in Microsoft Office applications (mid- to high-level of proficiency in MS Excel is required) 
  • Mid- to high-level proficiency with Salesforce 
  • Solid written and oral communication skills 
  • Some nights and weekends will be required 
  • Interest in and commitment to Chicago Jazz Philharmonic’s mission and values is helpful.

Salary Range: $40,000 - $45,000 (annual salary).

Benefits: Group health insurance plan with employer contribution.

Hours of Work: 40 hours/week (average), M-F (Some weekends and evenings required).
