Klein and Hoffman is seeking an organized and motivated Marketing Assistant to support the firm’s marketing efforts. The Marketing Assistant will report to the Marketing Manager, and interact regularly with engineering, architectural, and admin staff. The Marketing Assistant will be responsible for managing multiple priorities, information and tasks in a deadline-driven environment while maintaining a focus on detail and quality.

Primary Responsibilities:

  • Work with Marketing Manager to prepare responses to RFPs/RFQs and to assemble high-quality custom packages and presentations 
  • Organize, update and format marketing collateral (resumes, case studies, project lists, organizational charts, etc.), while maintaining consistency, quality and corporate branding 
  • Provide administrative support for the marketing department including disseminating information, data entry, proofreading, filing, copying, sending out packages 
  • Update and maintain our CRM system and leverage its reporting capabilities 
  • Maintain marketing files and collateral inventory 
  • Creates & delivers social media content via Facebook, Twitter, Instagram & LinkedIn 
  • Establish and maintain effective and collaborative working relationships with senior management and with staff 
  • Assists with managing the company’s brand through social media outlets 
  • Attends proposal-kickoff meetings and assists with the preparation of proposal materials, including gathering, verifying, and ensuring that the various aspects of proposals, resumes, project sheets, are accurate and delivered in a timely manner. 
  • Assists with business development (research prospective clients, maintain CRM database, support client relations program, support in the measurement of client satisfaction through client surveys and conduct perceptions studies); when required 
  • Attend company sponsored events and tradeshows; set up and breakdown

Requirements:

  • Bachelor’s degree in Marketing or related field 
  • A minimum of 1 year of marketing experience with a professional services firm or A/E/C industry preferred 
  • Intermediate to Advanced Proficiency with Adobe InDesign, Microsoft Office and PowerPoint 
  • Awareness of software such as Photoshop, Illustrator, Deltek Vision 
  • Ability to meet deadlines and be willing to work overtime as needed 
  • Strong organizational and time management skills 
  • Highly motivated, takes initiative and thrives in a fast-paced environment 
  • Exceptional customer service and interpersonal skills
