The Marketing Communications Specialist assists with the implementation of an annual marketing plan to increase volunteers and revenue to support the agency’s goals. Oversees creative design for agency including; marketing, recruitment, development, and program departments. Maintains the agency Website to support the communication of agency mission, programmatic offerings and development needs. Provides writing, editing, proofing and editorial support for all major agency messaging, including but not limited to press releases, newsletter and marketing collateral. Functions as a one-person unit providing agency support to all other functional areas. Must be able to work well independently as well as a valued team player. It is critical this individual be highly organized with an attention to detail and ability to thrive in an environment with a focus on continuous improvement and a sense of urgency.

  • Serves as Project Manager, overseeing the creation of agency marketing/advertising materials, including annual report, newsletters, brochures, flyers, posters, invitations, specialty pieces, billboards, print and electronic advertisements, signage, outdoor banners, donor kits, proposals, etc. This includes annual updated agency materials; forms, applications, templates, donor kits, fact sheets, awards, t-shirts, etc.
  • Manages relationships with outside marketing-related vendors or contacts (designers, printers, etc.) for agency.
  • Produce agency PowerPoint presentations as deemed necessary including; annual Gala, board meeting, trainings, other.
  • Create agency print templates and enforce agency branding on all print and electronic materials produced by internal departments as well as outside agency partnership projects. Ensures the agency meets all BBBSA national branding regulations. Serves as lead to the national BBBSA office for all graphic materials and updates. 
  • Stays current on emerging graphic technologies and marketing design trends.
  • Assists in writing editorial copy for program and development departments (including newsletters, annual report, and donor stewardship/solicitation pieces).
  • With the assistance of department liaisons, writes/proofs/edits, and coordinates all electronic communication to internal and external constituent groups for the agency (includes e-Campaigns, monthly e-Newsletter, etc.).
  • Manages consistent messaging, language internally to provide consistency and a uniformity for BBBS.
  • Collaborates with Special Events Coordinator to create copy and design work for signature special event collateral and printed communication pieces.
  • Maintains in-office marketing efforts, including reception area, interview rooms, and conference rooms.
  • Maintains the agency Website, recognizing it as a lead marketing tool for the agency.
  • Writes content and makes the site responsive to technology-savvy public, potential volunteers and donors.
  • Reviews all Web copy, enforcing agency guidelines. Maintains accuracy of agency information on BBBS website.
  • Creates, coordinates and posts all agency social media to support recruitment, event, and program campaigns.
  • Increases BBBS followers, likes, and overall agency presence on social media platforms.
  • Monitors and reports on website and social media platform analytics; makes recommendations for continuous improvement.
  • Assists in media buys and research.
  • Pursues media partnerships if appropriate and beneficial in recruiting volunteers or increasing awareness for financial support.
  • Maximizes natural entry points during National Mentoring Month (January), Volunteer Appreciation Month (April), and others to highlight need for mentors, recognize the mentors currently in our program, and build general awareness for BBBS.
  • Tracks media exposure.
  • Plans print production calendar to strategize/maximize cost-saving opportunities.
  • Coordinates printing and mailing services for all direct mail and large printing projects.
  • Works with development, program, and recruitment departments to create agency-wide e-Communications and social media calendar. Manages process for regular (approximately quarterly) exposure.
  • Coordinates strategic use of outside photographic and video services within budget.
  • Assists with preparation of Board materials as deemed necessary.
  • Manages the agency’s photo library and archives all graphic projects, complete with budget information.
  • Participates in regular program/development meetings.
  • Develops relationships with area printers to secure best pricing.
  • Other duties as assigned.

Education:

  • A bachelor’s degree in graphic design, marketing, or communications from an accredited college/university.

Experience:

  • A minimum of two years of graphic design work, marketing, and Website maintenance. 
  • Experience in a non-profit organization or in an advertising/PR agency setting is preferred.

Competencies and Skills:

  • Excellent technical skills and proficiency in current graphic design and Microsoft Office software including Publisher, InDesign, Adobe Creative Suite, Word, Power Point, Excel, and PowerPoint. 
  • Ability to create and edit videos. 
  • Familiar with pre-press needs, postal regulations and able to communicate with printing professionals in order to reduce costs. 
  • Proven success in producing radio and television PSAs, developing PowerPoint presentations and large format print applications such as billboards, banners, etc. 
  • Knowledge of process for creating and deploying advertising and marketing campaigns. 
  • Experience working on digital marketing campaigns; knowledgeable of social media platforms. 
  • Strategic thinker with the ability to be a team player throughout the organization. 
  • Strong communication skills with the ability to manage across departments with staff members in a variety of roles on the organizational chart. 
  • Able to help staff strategize printing projects that support agency objectives and project/program outcomes. 
  • Excellent written communication skills; writing, editing, proficient proofreader. 
  • Knowledge of photography; familiar with stock photography and guidelines. 
  • Successful in juggling multiple projects and meeting deadlines. 
  • Enjoys the challenge of working on projects with limited budgets.
