Work Environment:

Work is performed in a pleasant, professional, and creative open office environment. The dress code is business casual attire. Staff currently have the flexibility to be in the office or work from home, per agreement with your supervisor. Hours of work will generally be during regular business hours and will average 2,300 hours per year. Great flexibility in your schedule is both required of you and returned to you due to our many project deadlines. When returning to in-person work, this position is expected to spend time in both the Chicago and Milwaukee offices, with an every-other-week visit to the office that is not the primary office. Out of town travel is possible but expected to be minimal.

At Kahler Slater, we design to enrich life and achieve powerful results. We are seeking an energetic, detail-oriented individual to join our Business Environments and Hospitality Team as a Marketing Coordinator and Proposal Specialist.

This position will work closely with firm Principals, marketing, and business development staff on a variety of tasks, especially proposal development and new business development support. This fast-paced position requires a team player who will take initiative and ownership of their areas of responsibility. An ideal candidate is detail-oriented with great collaboration skills.

This position can be based in Chicago, IL or Milwaukee, WI.

Primary Duties and Responsibilities:

  • Coordinate the creation of proposals from beginning to end. This includes scheduling meetings, organizing the team, gathering required information, designing, editing, and producing the proposal, and ensuring the deadlines are met. Early direction is given by team leaders.
  • Collect, draft, edit, organize, and proof marketing collateral, including proposal content, presentations, new business development materials, award submittals, brochures, and interview support content.
  • Create and manage templates while maintaining Kahler Slater brand.
  • Support team and firm social media and public relations efforts.
  • Responsible for scheduling all Marketing meetings, pre-meeting prep, meeting minutes and post-meeting follow up communications. Similarly support business development meetings. 
  • Manage and track project data, client data, and new business development efforts in firmwide databases (CRM database, server locations, etc.).
  • Tracking conference dates, client event dates and award submissions. Organize and implement plan for involvement and submittal.
  • Manage marketing file organization and updates.

Working Relationships and Scope:

  • Reports to BEH Team Leaders.
  • Works closely with all other business development, marketing and graphics team members. 
  • Interacts with internal clients, external clients and partners.

Knowledge, Skills and Abilities:

Required:

  • Positive, can-do attitude with 2 to 5 years of experience in a similar role or job type in the Architectural, Construction or Engineering industry.
  • Proficient written and verbal communication skills; able to work with team members to develop Thought Leadership content.
  • Strong graphic skills, including a command of the Adobe suite, Microsoft Office and CRM database(s).
  • Must be able to actively plan, prioritize and work effectively in context of tight, multiple, concurrent deadlines, and prefer this type of work.
  • Design-minded: A capable steward and brand advocate with a critical eye. 
  • Understanding of how to leverage social media to grow our base of followers and highlight firm initiatives and stories.

Preferred:

  • BA in Marketing, Business, Communications, Journalism, Administration, or related discipline.
  • Experienced in developing rapport with press contacts resulting in media coverage. 
  • Commitment to supporting business development efforts by identifying opportunities to leverage Subject Matter Experts.
  • Website content creation, editing, and coordination.
  • Videography content creation, editing, and coordination.
