InSite Consulting Architects is looking for an energetic, highly motivated, detail-oriented Marketing Coordinator to work directly with our 12-person architecture firm which specializes in Historic Preservation and Building Envelope Restoration in addition to general architecture design.

This position requires the ability to work in a fast-paced environment, multi-task, meet tight deadlines, and may require working overtime during peak periods. This position could be a hybrid remote position. Flexible schedules and remote work are available. Minimum 30 hours a week expected. Full-time position may incorporate some general administrative tasks. Full-time work would include benefits: long-term disability and Simple IRA. Compensation will be competitive within the A/E market.

As the Marketing Coordinator you will be responsible for producing materials and proposals that support the firm’s marketing and business development efforts. Working collaboratively with our team you will be:

  • Coordinating, creative writing, editing, proofreading, graphic design, and producing responses to Request for Qualifications (RFQ) and Request for Proposal (RFP) responses.
  • Coordinating, creative writing, editing, proofreading,graphic design, and producing for project brochures, marketing collateral materials, and our social media presence.
  • Coordinating, creative writing, editing, proofreading, graphic design, and producing for project award submissions.
  • Tracking potential new projects and clients.
  • Leading weekly marketing internal meetings.
  • Working in a team environment to assess project needs, win strategies, and partnering considerations.
  • Maintaining a calendar of potential projects, proposal due dates, project interviews, and marketing events/opportunities. Responsible for meeting due dates.
  • Assisting in the preparation of presentations for project interviews and pitches.
  • Maintaining the company branding materials and office deliverables.
  • Depending on interests and qualifications, may assist with project-related tasks, including research, community outreach, graphic deliverables, and other tasks as mutually agreed.
  • General administrative tasks may be requested, including office and meeting event planning, office graphics coordination, etc.

Job Requirements:

  • A Bachelor’s degree in English, Journalism, Communication, Marketing or Graphic Design is preferred Experience in developing and generating proposal/qualification submissions for Engineering/Architectural/Construction firms is recommended
  • Candidate must possess strong writing, proofreading, and editing skills Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access)
  • Experience with Adobe Creative Suite especially InDesign and Photoshop Excellent interpersonal, communication, time management, and organizational skills are required
  • Ability to work with databases or willing to learn databases is a plus Capable of working in a fast-paced, deadline-driven environment
  • Able to work both independently and collaboratively with leadership
  • An interest in history, architecture and/or historic preservation is considered an asset
  • A can-do personality, open to pitch in when/where needed
