Position Summary:

We are seeking a dynamic and detail-oriented Marketing Coordinator to play a crucial role in supporting our marketing, creative, and sales. This multifaceted position will focus on the pre-planning and execution of conferences and webinars, ad hoc events, crafting engaging social media content, providing essential administrative support, and managing crucial logistical elements such as swag procurement and inventory, tracking sales lists, and coordinating conference registrations and hotel bookings. The ideal candidate will be a highly organized, proactive individual with excellent communication and writing skills and a passion for contributing to a thriving and collaborative environment.

Responsibilities:

Event Coordination:

  • Assist in the planning, coordination, and execution of various company events, including webinars, conferences, trade shows, and internal meetings.
  • Manage event logistics, including vendor communication, material preparation, registration management, and on-site support.
  • Track event budgets and ensure cost-effectiveness.
  • Evaluate event success and provide recommendations for future improvements.
  • Manage conference registrations for team members, including processing forms and ensuring timely submissions.
  • Coordinate hotel bookings and travel arrangements for event attendees and team members as needed.

Swag & Material Management:

  • Manage the ordering, inventory, and distribution of marketing swag and materials.
  • Maintain organized records of swag inventory levels and proactively manage reorders.
  • Ensure timely delivery of materials for events and marketing campaigns.

Social Media Content Creation & Management:

  • Develop engaging and informative written content for various social media platforms (e.g., LinkedIn, Twitter, Instagram, Facebook).
  • Assist in scheduling and posting social media content in alignment with marketing campaigns and brand voice.
  • Monitor social media channels for relevant conversations and engagement opportunities.
  • Contribute to the development of social media strategies and content calendars.

Administrative Support:

  • Provide administrative assistance to the marketing, sales, and creative teams, including scheduling meetings, managing calendars, and preparing presentations.
  • Organize and maintain marketing materials, databases, and project documentation.
  • Process invoices, track expenses, and assist with budget management.
  • Coordinate internal communications and ensure timely information flow between teams.
  • Manage and order marketing and sales collateral.
  • Maintain and track sales lists and databases as required by the sales team.

Cross-Functional Collaboration:

  • Work closely with marketing, sales, and creative team members to support integrated marketing campaigns.
  • Assist in the development and implementation of marketing strategies and initiatives.
  • Contribute to brainstorming sessions and offer creative ideas.

Qualifications:

  • Bachelor's degree in Marketing, Communications, Business Administration, or a related field.
  • Proven ability to coordinate webinars/conferences, events.
  • Excellent written and verbal communication skills, with experience in creating engaging social media content.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Familiarity with social media platforms and management tools.
  • Experience with CRM or marketing automation software is a plus.
  • Ability to work independently and as part of a team.
  • Detail-oriented and proactive approach to problem-solving.
