The Greater Milwaukee Convention and Visitors Bureau, D.B.A. VISIT Milwaukee, is a private, non-profit corporation formed in 1967. As the main destination marketing organization (DMO) for the greater Milwaukee area, our primary goal is representing and promoting Greater Milwaukee as a premier destination for major conventions, corporate meetings, group tours, and business and leisure travelers. Our goal of increasing visitor and meeting generated revenue is achieved through sophisticated and integrated sales, services, marketing, and public relations programs geared to local, regional, national and international target markets. Through this process, VISIT Milwaukee is able to reach new and existing markets to increase visitors and economic impact to Greater Milwaukee.

The marketing coordinator is responsible for overseeing the day-to-day activities of the marketing department primarily through the implementation and maintenance of an efficient and effective project tracker. The position is responsible for implementing email marketing campaigns, reporting, assisting in updates to webpages within CMS webpages, and administering virtual webinars. Additional responsibilities include supporting the department at large, coordination of meetings and schedules, assisting with proof reading and project management, tracking, and reporting.

Primary Duties:

  • Under the direction of the VP of Marketing and Communications develop a department project tracker and assist in maintaining project plans and timelines, assigning tasks to appropriate team members, and ensuring work is completed by deadline. 
  • Create and deploy email and newsletter communications including partner communications, sales emails, leisure newsletters, event invites, and more. Report on open rates for emails and determine ways to optimize for performance. 
  • Assist with launching any new digital services, programs, or offerings. Help with overall project management of new programs and coordination with outside vendors under the leadership of the Digital Marketing Manager. 
  • Support marketing department with any coordination requests to help manage relationships with external partners, including VISIT Milwaukee’s advertising agency of record, CRM database provider, third party vendors, and other stakeholders as needed. 
  • Create and maintain templates for digital and other project reporting needs (impressions, unique visits, bounce rates, open rates, click throughs, etc.). 
  • Coordinate VISIT Milwaukee’s virtual events and webinars. Use webinar software, for example Zoom or GoToMeetings, to oversee panel discussions, webinars, and virtual meetings. 

Department Support:

  • Assist the overall department through scheduling meetings, opening PO#s, tracking budgets, creating presentation slides, proof reading, fact finding, and reporting. 
  • Assist senior creative manager and graphic designer on creative projects as needed: image resizing, convention group welcome signage, QR code generation, invitation and other collateral piece reviews and updates. 
  • Purchasing items and gift cards from partner businesses and assembling gift boxes for partner needs, media and travel writers, and other client opportunities. 
  • Provide project management and support to the Marketing Committee, schedule meetings, maintain the committee roaster, send committee communications, set an agenda, prepare presentations, and capture and share meeting minutes. 
  • Oversee tourism grant submissions; provide guidance and assistance on development of grant applications, fulfillment of elements, and proof of performance reports. 
  • Represent VISIT Milwaukee in the community by helping to staff VISIT Milwaukee sponsorship tables, booths activations at festivals and events, and more. 
  • Attend meetings, conferences and tradeshows as needed. 
  • May require long distance travel. 
  • Assist with other projects as assigned. 
  • Assist with office reception relief as needed.

Required education and experience:

  • Associates degree from an accredited institution in business, marketing, communications or related field, or 
  • An equivalent combination of education, experience and training that would provide the knowledge, skills and abilities required for the successful performance of the essential job duties. 
  • One to three years of demonstrated marketing and digital experience, project management and event coordination experience. 
  • Experience in the tourism, hospitality or association industry preferred. 

Required skills, knowledge and abilities:

  • Strong project management experience with the ability to manage, organize, coordinate and prioritize assignments under tight deadlines. 
  • Ability to manage multiple tasks simultaneously, set appropriate priorities and accomplish assignments in a thorough and timely fashion. 
  • Must have excellent interpersonal communication and customer service skills and the ability to convey information in a positive manner. 
  • Motivated self-starter that can work independently, on a team, and cross departmentally. 
  • Strong commitment to diversity and inclusivity in the workplace. 
  • Ability to present to diverse audiences, specifically, racially, ethnically, and socioeconomically diverse communities. 
  • A strong desire for accuracy, a concern for detail, and an exceptional amount of self-motivation and work ethic. 
  • Highly proficiency in Microsoft Office applications and Adobe solutions.
  • Working knowledge of Adobe Creative Cloud suite programs such as InDesign and Photoshop beneficial. 
  • Must have a working knowledge of internet/intranet systems, web and email practices. 
  • Ability to work occasional nights and weekends. 
  • Must possess a valid driver’s license. 

Physical Requirements:

  • Ability to sit at desk, operate computer keyboard and view computer screen for six to eight hours per day. 
  • Must be able to hear and converse via telephone and in person. 
  • May be required to stoop, bend or reach above the shoulders. 
  • May be required to lift boxes and small equipment up to 50 pounds in weight. 
  • Travel in personal automobile may be required for business; occasional air travel may be required.
