The Marketing Project Coordinator is primarily responsible for managing the project workflows and timelines from beginning to end for all Marketing Department activities, including, but not limited to, direct marketing programs, social and email communications, online marketing, printed pieces, and trade show events.

Additionally, this position is responsible for the administration of the email marketing program, marketing customer database, reporting and analytics, and catalog and publication programs. This position requires strong organizational skills, ability to prioritize and handle several tasks simultaneously. The Coordinator will interface with a wide range of internal contacts ranging from marketing communications specialists & graphic designers to product managers, sales teams as well as outside vendors in order to understand project scope, communicate key tasks and timelines and ensure project deadlines and budget are met.

  • Developing a comprehensive workflow process for each project and modifying the project schedule if the project gets off track. 
  • Proactively informing the Marketing Specialists and/or Marketing Manager when a project is in danger of missing a deadline and suggest solutions to get the project back on track 
  • Collecting all of the information necessary for a project and assigning tasks to relevant personnel 
  • Coordinating Project Team meetings to review the status of a project and acting as a liaison between multiple departments. 
  • Following up on outstanding issues to keep the project running smoothly and scheduling project follow-up meetings as needed.
  • Working with vendors to obtain quotes, timelines, and specifications for projects and relay information to project team.
  • Preparing reports on the status of projects and coordinating the evaluation of projects upon completion.
  • Tracking and reporting the results for key campaign measurables to the marketing team and other departments as requested 
  • Manage the customer marketing database in order to ensure that all lists are consistently up-to-date and clean (opt-outs removed, etc.). 
  • Manage the accounting process for all marketing jobs through the marketing database to ensure all the jobs and billings are issued and paid on time. Set up and track the routes of all marketing jobs using Adobe Acrobat shared review procedures. This includes checking each route to ensure that all reviewers have submitted their comments in a timely manner.
  • Act as the point person for email service – In addition to being a “power user” of the program, you will need to have in-depth knowledge of the program, facilitate communications and lead and review contract renewals with Marketing Manager for database service annually, as well as communicate new enhancements to the rest of the team 
  • Manage all facets of email campaigns (internal and third party); develop campaign schedules, document plans, manage deadlines, define and pull email lists, and coordinate deliverables with stakeholders. 
  • Run, manage and communicate to the marketing team and other personnel as required the reporting for marketing metrics such as emails and web marketing efforts and provide a comprehensive analysis of these reports
  • Work with the designers to test emails and troubleshoot HTML rendering issues Coordinates development, execution and evaluation of key programs including catalog programs, and other projects as needed. 
  • Providing a positive and qualitative contribution to the success of the Client, team, co-workers, other customers. 
  • Contributing in team activities, provide regular communication of productivity, and perform other responsibilities as conditions warrant. 
  • Other duties as assigned
  • Minimum of two years of experience managing projects within a marketing department or at an advertising agency
  • Familiarity with print production and mass mailings would be a plus.
  • Extensive experience using Microsoft Office products including Excel, Outlook, and Word; Familiarity with Adobe programs, marketing platforms such as Bronto or Silverpop, and Salesforce.com a plus.

  • Excellent communication skills 
  • Bachelor’s degree or equivalent experience

Salary: $40,000 - $45,000
