The People & Culture Meeting Planner coordinates all aspects of conferences, meetings, and events (pre-planning, onsite execution, and post event wrap-up) for programs up to 500 people and may assist on certain aspects of larger conferences under the direction of the People & Culture Meeting and Event Services Senior Manager.

Job Duties:

Coordinates and monitors event activities to ensure compliance with firm guidelines/applicable regulations and laws as well as satisfaction of internal clients, including:

  • Selection of venues
  • Hotel accommodations
  • Transportation (air and ground)
  • Catering
  • Signage
  • Technology Special needs
  • On-site meeting support

Researches and negotiates contracts with service providers and suppliers such as hotels and transportation providers, and obtains approval based on firm standards

Develops, manages, and reconciles event budget

Partners with internal clients to develop communications to participants including initial event announcements, on-line registration messaging, registration confirmations, welcome letters, and event updates

Organizes and coordinates registration

Facilitates all on-site aspects of the event (e.g., resolution of impromptu technological, space, and catering concerns, answering instructor and/or participant inquiries and needs, etc.)

Reviews event invoices for accuracy and approves payment

Notifies the People & Culture Meeting Manager and/or Senior Manager of planning progress of each event

Identifies and proposes possible courses of action to resolve obstacles that may interfere with the ability to meet project deadlines or quality of work

Maintains event files per department guidelines

Assists the People & Culture Meeting Manager and/or Senior Manager with on-site support of large meetings and conferences, as needed

Travels to provide on-site support of firm meetings and/or events

Other duties, as required

Qualifications, Knowledge, Skills, and Abilities:

Education:

  • High School Diploma or equivalent, required
  • Bachelor’s degree in Business Management, Hospitality, or Hotel Management, preferred

Experience:

  • Three (3) or more years of experience in meeting and event planning, required

Software:

  • Proficiency in the use of Microsoft Office Suite applications, required

Other Knowledge, Skills & Abilities:

  • Basic knowledge of hotel industry, including evaluating vendors and negotiating contracts 
  • Superior verbal and written communication skills 
  • Ability to work within a demanding, deadline driven environment while effectively diagnosing and resolving unexpected issues in a professional manner 
  • Ability to communicate and interact with all levels of employees and management
  • Excellent planning, organizational and project management skills with a strong attention to detail 
  • Ability to successfully multi-task while working independently or within a group environment 
  • Ability to travel (up to 50% of schedule) required

Individual salaries that are offered to a candidate are determined after consideration of numerous factors including but not limited to the candidate’s qualifications, experience, skills, and geography.

Range: $75,000 - $85,000
