We’re on the hunt for a dynamic Program & Operations Coordinator to help bring the magic to life behind the scenes at the Hoan Group and Forward 48. If you’re someone who loves planning events, keeping things running smoothly, and connecting with people—this might be your dream gig.

Your days will be a mix of programming (think events, committees, and member engagement) and operations (like office admin, finances, and facility support). No two days are exactly the same, and that’s part of the fun.

We’re looking for someone who’s organized, detail-oriented, and thrives on juggling multiple schedules without breaking a sweat. If you’ve got great attention to detail, strong communication skills, and a passion for people—plus a little extra spark—you’ll fit right in.

  • Plan and execute small to midsize events for the Hoan Group and Forward 48, including creating project timelines and task lists.
  • Assist in developing and delivering a quarterly events schedule for both organizations.
  • Manage day-of event logistics: venue prep, execution, cleanup, and on-site troubleshooting with vendors and staff.
  • Create and manage event sign-up pages, budgets, payments, and post-event reporting.
  • Develop and implement event-specific marketing strategies, including pre- and post-event communications.
  • Provide feedback to improve future events and overall program efficiency.
  • Support boards and committees with communications, project updates, meeting logistics, and stakeholder coordination.
  • Build strong member relationships and foster meaningful connections among members.
  • Handle member touchpoints such as birthday cards, gifts, and award nominations.
  • Respond promptly to member requests, personalizing their experience by learning names, preferences, and key details.
  • Distribute mail, coordinate payments and deposits, and track expenditures in coordination with the team and accountant.
  • Obtain certificates of insurance, permits, and facility approvals as needed.
  • Manage contracts, payments, insurance, and maintenance for the boat annually.
  • Save and organize monthly financial statements; manage dues and tuition payments, including follow-ups.
  • Handle domain/software renewals, procure supplies, and support general office upkeep.
  • Oversee daily office operations to maintain a clean, organized, and functional workspace.
  • Manage vendor, service provider, and building management relationships.
  • Schedule and coordinate office maintenance, repairs, and cleaning to ensure a safe, welcoming environment.
  • Monitor and reorder office supplies, equipment, and furniture.
  • Serve as the main contact for all facility-related inquiries and emergencies.
  • Support with additional administrative projects or tasks as assigned.

  • Proficient in Microsoft Office and Google Suite; quick to learn new digital tools and platforms
  • Skilled at juggling projects, budgets, and people—often all at once
  • Calm under pressure and comfortable working with people from all backgrounds
  • Bonus points for experience in marketing, customer service, or sales
  • A self-starter who thrives with independence, adapts easily, and respects confidentiality
  • Must have a computer with internet access, a mobile phone, and transportation for events in Milwaukee, Madison, and Green Bay
  • Flexible to work in the office, remotely, and on-site as needed
  • A collaborative team player who’s always willing to jump in and support others
  • Classification: Contract Role, Hourly Paid Position (with option to transition to Full Time Salaried Position)
  • Estimated Number of Hours: 20-35/week (with option to transition to Full Time Salaried Position)
  • Wages:  $25/hour, negotiable based on experience
