The Program Coordinator perform duties involved in the administration of strategic initiatives, marketing events and other College operations. The Program Coordinator will work closely with the Executive Director of Strategy and Marketing as well as Director of Communications and Project Manager. The person will collaborate with Marketing, Advancement, HR, IT and Facilities Teams to successfully execute strategic projects and manage College level events end-to-end.

Duties & Responsibilities:

  • Develop and manage a communications strategy to promote the College brand’s as a thoughtful leader in oral health education, research, patient care and community engagement. 
  • Serve as the primary contact for media inquiries and respond to all other inquiries for information related to the College’s and its activities. 
  • Lead the editorial for the College’s press releases and manage the publication of College’s annual magazine. 
  • Manage freelance writers, photographers, graphic designers, publication design agencies, and printing firms. 
  • Provide communication support for addressing social media inquiries, email inquiries and/or media inquiry. 
  • Guide and support a team of marketing managers and associates and collaborate with colleagues across College of Dentistry and UIC Marketing to developing strategies to best utilize personnel resources.
  • Provide strategic direction for the development of College of Dentistry brand congruent with University of Illinois Chicago and UI Health. 
  • Ensure brand alignment of digital communications throughout the College by providing direction and best practices to academic and administrative unites and performing periodic audits of digital materials. 
  • Provide oversight of the College's website including resource allocation, design, content development and engagement. 
  • Provide oversight for managing various marketing campaigns at the college. Work with Marketing Manager to continue building Master database of prospective users by various cohorts and campaigns. 
  • Provide best practices and manage support services for the development of College's Healthysmile blogs, weekly Smile newsletter, quarterly marketing newsletter and other departmental newsletters. 
  • Provide strategic direction and direct the social media strategy for growth and engagement. 
  • Develop strategic media plans that include videography, photography and graphic art media for social media and websites. 
  • Provide strategic direction in the design and development of brochures and flyers that are used for patients, students, research and/or marketing use. 
  • Develop and manage external print marketing materials, such as College’s one-pager, patient onboarding flyer, holiday cards etc. 
  • Proactively manage marketing & communications budget and source the services that provide quality over time and money. 
  • Work with the Executive Director of Development on advancement messaging strategy and to request alumni and donor data for college and department communications. 
  • Works with the UIF Mass Communications team to request alumni data for college and department external communications that are not advancement related. 
  • Oversee Continuing Education activities and maintain American Dental Association Continuing Education Provider Recognition (ADA CERP) compliance. 
  • Work with Financial Aid to award scholarship funding for dental students; process scholarship during the appropriate time (Spring); 
  • Consult with the Executive Director of Development for information on donor intent and gift agreements to ensure proper fund usage. 
  • Notify OVCA and the Executive Director of Development for the College of Dentistry which students were awarded scholarships. 
  • Perform other related duties and participate in special projects as assigned.
  • Bachelor’s degree. 
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.) 
  • Demonstrated experience managing marketing events and communication, website, and media content development.
