The Program Coordinator is responsible for the administrative support of all program activities at Islands of Brilliance (IOB). The Program Coordinator must have the ability to work collaboratively within project teams and interact effectively with staff, students, and partners.

Responsibilities:

  • Facilitate and help manage front-line communications with families, students and mentors regarding IOB programs. 
  • Coordinate registration activities: inquiries, scheduling, and confirmation. 
  • Effectively communicate at all stages of the registration process externally and internally. 
  • Create registration pages for all programs using Eventbrite (current) and Neon (2023+) by using content provided by Marketing and Education teams. 
  • Oversee the usage of Zoom links for all Programming. 
  • Monitor enrollments and provide updates to Leadership. 
  • Facilitate the scheduling of New Student onboarding sessions by the Education team. 
  • Manage mentor communication specific to availability and secure commitment within programming. 
  • Oversee general website inquiries regarding IOB and funnel to appropriate teams. 
  • Support Leadership with execution of internal and external events. Potentially secure location, help with set up, and play a support role during the gathering. 
  • Manage supply inventory required for programming. 
  • Once new office space is secured (2023), you will be asked to take on new responsibilities as an Office Manager. 
  • Develop and maintain documentation for use as reference guide and in training others.

  • Organizational and time management skills.
  • Strong attention to detail and the ability to plan ahead. 
  • Excellent verbal and written communication skills. 
  • Ability to multitask and prioritize. 
  • Ability to work independently with little supervision. 
  • Ability to connect the dots, understanding the interconnectedness of our people and systems to help streamline our processes. 
  • A positive and energetic team player with a flexible and creative approach. 
  • Passionate about IOB’s mission and able to promote and communicate the philosophy, mission and values of IOB both internally and externally. 

Technical Qualifications:

  • Associate’s or Bachelor’s degree with at least two years of business administration, communications or project management experience. 
  • Proficient use of Google Suite/Workplace is required. 
  • Experience using Eventbrite (or similar)and Neon (or similar CRM database) is strongly preferred.
