HGA is a 500+ person, award winning architectural, engineering and planning firm seeking an energetic, detail-oriented and experienced proposal coordinator to join its Milwaukee team. Working closely with the firm’s principals and marketing staff, the proposal coordinator creates, coordinates and designs complex proposals for new business opportunities. This position also assists with additional marketing and new business development related projects for all of the firm’s practice groups.

We are looking for an individual with a demonstrated ability to identify, integrate and translate information from multiple sources into a creative, compelling, client-focused story. Strong graphic design skills and high proficiency with Adobe InDesign, Photoshop, Illustrator and Microsoft Suite products (Word, Excel, PowerPoint and Outlook) are needed. Top notch organizational, prioritization, problem-solving, multi-tasking and decision-making skills and attention to the details that create a powerful message are essential. This fast-paced position requires a team player showing initiative and ownership of his/her areas of responsibility.

ESSENTIAL DUTIES AND RESPONSIBLITIES

  • Leads the proposal process, managing all aspects of that proposal, as well as providing overall quality assurance.
  • Artfully composes proposals and other client facing materials such as brochures, conference materials, award submissions and presentations following HGA standards.
  • Writes and edits proposal copy which is technical, strategic and creative Meets proposal deadlines by establishing priorities and target dates for information gathering, writing, review and approval.
  • Reads and analyzes RFPs and edits proposal content for readability, consistency, clarity and compliance with requirements, minimizing style differences from multiple authors and contributors.
  • Manages award submissions by compiling content and images, working with project team members to meet goals Prepares interview materials, including but not limited to boards, PowerPoint and other collateral.
  • Creates and updates staff resumes and project profiles.
  • Contributes content to the HGA Marketing intranet site Updates our CRM database, using Deltek’s Vision system.

Preferred candidates will have a minimum of five years in the RFQ/RFP and interview preparation process, preferably in the architectural, engineering or construction industry. Strong copy writing, editing and graphic design skills are essential. A bachelor's degree in marketing, journalism, communications or related field is preferred.
