Position Details

Proposal Specialist
Southeast Wisconsin
West Allis, WI

The primary goal of the position is to ensure excellent customer service, proactively increase sales and profits utilizing a local market team approach and serving as an integral member with Business Development Managers, Support Staff, and Store Managers to satisfy customer business needs.

Primary Responsibilities:

  1. Highly motivated, independent and proven professional. Estimate, sell, and help manage projects with a complete and comprehensive review of architectural plans and specifications; mainly, but not limited to, new construction and design build projects. 
  2. Strong estimating, project management, and sales skills are essential in successfully fulfilling the tasks required in this role where candidate will review bid requirements for projects, ensuring all aspects of the project are documented and accounted for.
  3. Understands Commercial HVAC equipment and associated materials and prepares work to be estimated by gathering proposals, blueprints, specifications, and related documents shared by Commercial Specialists and Engineering Department. 
  4. Estimating and proposal management skills, experienced with pricing, costing and quoting, proficient computer skills specifically with estimating and job cost tracking software.
  5. Prepare takeoffs and work with sales department to secure vendor pricing. 
  6. Computes costs and manually enter figures into internal bid proposal software. 
  7. Presents prepared estimates by assembling and displaying numerical and descriptive information. 
  8. Properly turn over bid documents to GALCO Commercial Specialists by date/time assigned.
  9. Formulate customer job quotes, expedite customer orders, receive and submit orders via telephone, email, and quoting software. Prepare submittals for customers in a timely manner. 
  10. Elevate professional growth and development through continued education through programs in alignment with the industry. 
  11. Attend vendor sponsored product and technical training classes when appropriate and approved by the Segment Business Leader.

Qualification Requirements:

  • Strong organizational and communication skills, must be capable of multitasking and have the ability to prioritize. Applicants must be able to handle multiple projects at one time, manage tight deadlines, demonstrates excellent verbal and written communication skills. Thrives in a fast-paced environment and provides accuracy and timeliness. 
  • Architectural, engineering or construction background is desirable but not required. 
  • Commitment to excellent customer service. 
  • Excellent verbal and written communication skills. 
  • Effective Team Player, ability to lead, demonstrates confidentiality, and takes initiative. 
  • Other duties as assigned


  • Bachelor’s degree and/or five years of related experience. 
  • Sales Estimating experience a must. 
  • Excellent computer skills (Microsoft Office applications, specifically EXCEL).
