PRIMARY RESPONSIBILITY: 

Under the guidance of the VP/Director of Marketing, the Sales & Marketing Coordinator is responsible for all administrative support for the sales and marketing departments. This role will lead the coordination of seminars, sales representative agency events, sales & marketing team meetings, national and regional trade shows, and product sales samples. 

MAJOR DUTIES: 

In-House Event Planning & Execution

  • Lead the event planning for all in-house events such as Healthcare Seminars, New Agency Training, Sales Agent Product Training, Educational Visits & Tours with Specifier Schools, and sales & marketing team meetings including: 
  1. Assist in the development and management of the schedule for each event 
  2. Create and disseminate digital invitations to guests when appropriate
  3. Oversee all meal planning and execution including catering, reservations, and transportation 
  4. Manage lodging for guests, create hotel blocks and communicate with guests
  5. Assist with the execution of each day’s schedule including training sessions, factory floor tours, and other demonstrations
  6. Coordinate and schedule guest speakers when appropriate 
  7. Manage all audio / visual needs for events including presentation technology and headsets for factory tours 
  • Assist with the continuous improvement of our showroom including the removal/installation of new products, replace / update vignette furniture, fixtures, and accessories, and update other in-house displays to make sure they remain current and relevant when necessary 

Trade Show Planning & Execution (HCD, LightFair, Light! Design Expo, LEDucation, etc.)

  • Coordinate the execution of all tradeshows and sales representative agency events 
  • Complete all administrative / registration documents and coordinate payments for all trade shows 
  • Oversee the logistics of shipping trade show booths / displays and track deliveries 
  • Provide trade show schedule to marketing team to update the event calendar on the website 
  • Source any necessary promotional items to support all trade shows and events 
  • Make sure leads are provided to marketing and execute follow-up plan with sales and marketing teams 
  • Assist with other special trade show events and coordination of meals with customers when necessary 

Sales Sample Management

  • Coordinate the creation of, place orders for, and manage the inventory of product samples for regional sales managers including complete fixtures and sample colors/finishes 
  • Assemble & ship product samples and prototypes to requested locations for meetings 
  • Place orders for all new product samples for specifiers and projects 
  • Track locations of sales samples and assure the sales samples are returned in a timely manner (where applicable) 
  • When product samples return from meetings and shows, coordinate repairs (if necessary) and place them back in sales sample inventory 

Other Duties as Assigned

EDUCATION PREFERRED/SPECIAL NOTES:

  • High school diploma required. 
  • Bachelor’s degree in marketing, communications, general business, or a related field is preferred. 

EXPERIENCE PREFERRED/SPECIAL NOTES: 

  • Some experience leading or assisting with the execution of in-person product trade shows and / or the planning for multiple-day events 
  • High proficiency in the use of Microsoft Office Suite including Word, Excel, and PowerPoint 
  • Proficiency in using Google Forms or another means of gathering feedback for event planning 
  • Strong written and verbal communication skills 
  • Business savvy with a frugal mindset to effectively manage costs 
  • Ability to interpret and apply brand standards to all event communications and trade show elements 
  • Highly organized with strong attention to detail and meeting deadlines 
  • Proactive mindset and the ability to work collaboratively in a team environment and independently 
  • Ability to travel overnight 1-3 weeknights, 1 -3 times per year 
  • This is an in-office role, must be located in the greater Milwaukee, WI area or willing to relocate 

PHYSICAL REQUIREMENTS: 

  • Extended periods of seated work, prolonged use of computer, occasional bending and lifting to 50 lbs.
