WHERE YOU SHINE

The Senior Project Manager provides on-time production executional support across all disciplines such as keeping projects on team, on budget, and on brand. Solves problems and builds relationships with all internal teams to ensure project deliverables and deadlines are clearly communicated and executed. Ensures agency success by keeping projects in line with the scope of work.

WHAT YOUR SUCCESS WILL LOOK LIKE

  • Assist with SOW creation and the relating documents (Scope, Staff Plan) 
  • Create Project Timelines depending on project size to clearly identify all steps leading up to major project milestones and final deadline(s) 
  • Request Job Numbers 
  • Book all required resources and/or submit requests for additional resource needs 
  • Create and distribute Kick Off documents as required 
  • Schedule all internal meetings and take meeting notes 
  • Create and update any internally required project documents (e.g. Asset tracker for stock images) 
  • Create and update Work Forecast documents 
  • Pull burn reports and track usage of hours against the afforded hours and percent completion, as applicable 
  • Monitor team progress and needs closely to keep the project on track and on schedule. 
  • Adjust project timings / deliverables as appropriate. 
  • Supply Change orders if applicable 
  • Traffic print projects, route creative and mechanicals for internal approvals, manage print production, retouching and mechanical requests with studio 
  • Escalate issues / concerns relating to the project to the PM/account leads 
  • Prepare Estimates and/or POs; track finances, as applicable 
  • Support the PM team with administrative tasks 
  • Ensure changing resource and project requirements are communicated to all members of the project team 
  • Collaborate on annual financial planning Vendor procurement and management 
  • Adhere to agency process and financial policies; identify ways to improve processes 
  • Enter time reports at minimum once a week and expense reports within 10 days of incurred expense

WHO YOU ARE AND WHAT YOU BRING

  • BA/BS degree required 
  • 3-5 years of project management experience in an advertising agency 
  • Excellent organizational skills and attention to detail 
  • Energy and passion for the work 
  • MS Office experience and knowledge of Project Management software tools and techniques (MS Project/Smartsheet) 
  • Multitasks well in a fast-paced environment 
  • Effectively communicate with all internal teams, understanding that listening is as important as speaking and doing 
  • Demonstrated track record of successfully planning and managing small and medium scale project implementations from start to finish 
  • Experience with direct client interaction and indirect financial management responsibilities
