Job Summary:

This position works closely with cross-functional stakeholders to collaboratively evaluate, develop, plan, manage and execute CSI congress & tradeshows strategy with a focus on project management and a ROI measurement process. They are responsible for the development and execution of congress and tradeshow events that support CSI’s product, portfolio and company strategies ad growth drivers, as well as leading and driving the management of our 3rd party partners that may range from exhibit warehouse vendors to promotional item vendors to hoteliers and other meeting related external partners. Key responsibilities include development & execution of assigned tradeshows strategy and project management including objectives, procurement, logistics coordination, onsite execution resulting in exceeded target audience expectations, post show metrics and evaluation.

Essential Duties and Responsibilities:

  • Accountable for the implementation of project management for assigned peripheral & coronary congress & tradeshows (ieAMP, TCT, Euro PCR, SCAI, SVS, etc). 
  • Plan and implement product exhibits at conventions, exhibits, and/or symposia – in person, virtual or hybrid format 
  • In collaboration with cross-functional stakeholders develop and define program strategy & goals, objectives, messaging, key performance indicators and budget 
  • Accountable for managing external meetings, events, and tradeshows, as well as the management of CSI’s exhibit warehouse and CEROS conference page 
  • Lead sponsorship discussions with congress organizers and Healthcare associations to best position. Provide recommendations to cross-functional partners on engagements or sponsorship opportunities that align conference offerings with CSI commercial objectives
  • Research, recommend and select meeting sites, activities or channels that support objectives; initiate and confirm proposals with vendors 
  • Effectively negotiate and manage meeting vendor contracts in compliance with corporate policies 
  • Ensure vendors adhere to all company service level expectations; requires ongoing communication and action items with vendors 
  • Lead core pre‐planning meetings with project team and/or client; coordinate all information for meetings and events, disseminate appropriately, ensuring deadlines and action items are met by project team or outside vendors. 
  • Coordinate logistics planning including pre-planning meetings, agenda/program development, food and beverage menu selections, air and ground transportation arrangements, registration and housing and audiovisual/technical needs 
  • Work with vendors to design booth space, organize equipment and literature – identify areas for updates, continuous improvements or efficiencies to support CSI growth and expansion 
  • Stay up to date on new trends in exhibit design and digital event environment 
  • Collaborate with show organizers and internal clients for communication materials and marketing collateral 
  • Provide full onsite management of meetings, events and tradeshows. Complete post‐event tasks including reconciliation of expenses, evaluation of event, and report out on meeting results; recommend improvements for future meetings 
  • Take leadership role with customers, vendors, and teams and works with very limited supervision 
  • Optimize savings and accurately track meeting and event expenditures to stay within or below budget; is always disciplined and cost conscious with demonstrated ability to manage various program budget 
  • Take on additional smaller projects associated with METs such as managing event websites, managing grant requests and other MET related activities

Experience ‐ Education (Required):

  • Bachelor’s Degree in Hospitality, Communications, Marketing or related field. 
  • Minimum 7 years’ professional meeting and event planning experience with increasingly responsible positions. 
  • Proven ability to procure, negotiate and uphold corporate legal requirements 
  • Able to establish relationships within a matrixed organization; work with various levels of organization, including leadership 
  • Ability to travel (up to 45%); flexibility in work schedule is required (to include evenings and weekends, and during program execution, as needed) 
  • Advanced computer proficiency in Microsoft Office Suite 
  • Previous project management experience 
  • Previous experience in meeting/event planning in Medical Device industry (preferred) 
  • Certified Meeting Professional (CMP) (preferred)
