Position Details

Sr. Marketing Coordinator
Minneapolis, MN

HGA is an award winning architectural, engineering, and planning firm seeking a Senior Marketing Coordinator for its Healthcare Practice Group. This position will work closely with the Marketing Manager, marketing team, Director of Marketing, Healthcare Principals/Market Sector Leaders and Business Developers to develop, coordinate and support the qualifications/proposal and interview process.

Proposal Management:

  • Reads and analyzes client requests; obtains collective support and value recognition by identifying and engaging subject matter experts and teams across all levels, departments (i.e., principals, market sector leaders, project managers, business development, etc.), and locations 
  • Proactively identifies risks and solutions regarding client-specific requirements and internal challenges; escalates as appropriate. Participates in go/no-go decisions. 
  • Coordinates and leads team calls from kick-off to submission with principal on project 
  • Develops, communicates, and executes proposal milestone plans, schedules, and targets (including content development, customization, reviews, drafts, approvals, etc.) 
  • Monitors and reports progress of proposals to Marketing Manager 
  • Reinforces understanding of the client’s needs by creating customized answers that clearly articulate the proposed solution with the entire proposal team 
  • Responsible for review and quality control of proposals: edits proposal content for readability, consistency, clarity, and compliance with client requirements (using HGA branding guidelines). 
  • Responsible for entering pursuit information into Deltek VISION and following up with the team to understand the next steps

Interview Prep: 

  • Schedules interview discussions and preparation with the project team, prepares research and due diligence on the client/project, utilizes HGA messaging 
  • Prepares final proposals for submission (conducts quality check that touches on grammar, spelling, content flow, formatting, and more to meet style, brand, and client standards). 
  • Develops and delivers persuasive, compelling, HGA-branded proposals on time 

Content Management Responsibilities:

  • Develops top quality healthcare content for content library Works closely with other marketing coordinators to remain consistent with content, industry standards, and any pertinent information relating to the industry 
  • Participates (and potentially leads) segment marketing coordinators conference calls to information share and build resources across the entire company 

Team Responsibilities:

  • Attends local/regional and HGA-industry events; builds relationships with peers
  • Builds and maintains strong relationships with Healthcare Segment teams 
  • Builds and maintains strong relationships with the Marketing team, participating in weekly meetings, sharing ideas and being a support/resource for team members as necessary

Photography Responsibilities:

  • Works with the project team to determine strategy for photography and develop a shot list
  • In partnership with the healthcare project team, identify edits for the photographer after photos are received 
  • Responsible for tagging images once they have been uploaded to OpenAsset Communicates with project team, marketing team, and others on the completion of the photography 


Knowledge of:

  • Marketing concepts, practices, procedures, communications processes and techniques 
  • Excellent proposal development skills with an emphasis on writing and editing 
  • Proofreading, editing and standardizing proposal text for proper grammar, spelling, comprehension and style while adhering to brand standardizations 
  • Healthcare industry knowledge is a plus 

 Ability to: 

  • Lead a proposal and be responsible for managing all aspects of that proposal as well as providing overall quality assurance 
  • Meet schedules and organize complex material 
  • Understand technical/professional service-related material 
  • Work with minimal supervision 
  • Provide a high level of attention to detail and handle multiple deadlines, working independently 
  • Write and edit project summaries, resumes of project personnel and other supporting materials 
  • Perform detailed marketing procedures 
  • Work closely with Principals/Business Developers/Project Teams on the selection and recommendation of appropriate project examples to be included in the Proposal, according to the Request for Proposal (RFP) 
  • Be highly organized, creative and solution oriented 
  • Demonstrate flexibility in working with a variety of team members, including firm principals and project leaders, to meet dynamic project demands 
  • Communicate effectively with communications project owners 


  • Bachelor’s degree in English, journalism, marketing, communications, mass media or other related field 
  • A minimum of five (5) years of related work experience in proposal and presentation development, preferably within the architecture or engineering fields 
  • Proficiency with Adobe Creative Suite (InDesign, Photoshop, Illustrator) 
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) Deltek VISION is a plus
